Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations within our dynamic office environment. The ideal candidate will possess strong administrative, supervisory, and communication skills, with experience in office management, event planning, and human resources. This role is essential in ensuring smooth workflow, effective team coordination, and efficient office procedures. The Office Manager will play a key role in maintaining a professional atmosphere while supporting various departments and managing vendor relationships.
Duties
- Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems
- Oversee calendar management and schedule appointments or meetings for staff and executives
- Coordinate event planning activities, including logistics and vendor management for company events
- Supervise administrative staff and provide training & development to enhance team performance
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping
- Manage payroll processing and human resources functions such as onboarding, employee records, and policy enforcement
- Oversee budgeting processes to ensure departmental financial efficiency
- Maintain filing systems, perform clerical tasks, and ensure document accuracy and confidentiality
- Facilitate communication across departments to promote organizational cohesion
- Ensure compliance with office policies and procedures while fostering a positive work environment
Qualifications
- Proven experience in office management or administrative roles within a professional setting
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills, including phone etiquette and interpersonal abilities
- Experience with QuickBooks or similar bookkeeping software is preferred
- Supervising experience with team management capabilities
- Knowledge of event planning, vendor management, and calendar management tools
- Familiarity with human resources functions such as payroll processing and employee onboarding
- Background in medical office management is a plus but not required
- Proficiency in office software applications (Microsoft Office Suite or equivalent)
- Demonstrated ability to handle confidential information discreetly and professionally
