Position Summary We seek a proactive, highly polished Executive Assistant to serve as a strategic partner to the CEO. You will anticipate executive needs, protect leadership time, manage complex logistics, and represent the executive office. - Executive Partnership: Manage the CEO’s calendar, prioritize workflows, draft communications, and sit in on key meetings to record action items.
- Board Coordination: Prepare agendas, compile board packets, coordinate catering and logistics, and communicate seamlessly with board members.
- Financial Administration: Assist with sensitive financial transactions, expense management, and budget oversight.
- Travel & Logistics: Coordinate travel itineraries (approx. 4 in-state and 2 out-of-state trips annually) and oversee arrangements for visiting advisors.
- Operational Oversight: Manage office supplies, mail, vendor relations (IT and facilities), and occasionally assist with building security.
Candidate Qualifications
- Experience: 5+ years of executive support. Backgrounds in wealth management, finance, legal, accounting, government, or major non-profits preferred.
- Professional Polish: Impeccable communication and a courteous demeanor. Strict adherence to a conservative corporate appearance is required.
- Local Awareness: Well-versed in regional business trends and civic leadership dynamics.
- Discretion & Proximity: Proven track record handling highly confidential data. Must reside within a short commuting distance.

Responsibilities
Manage the calendar and ensure the effective scheduling of the President/CEO’s time.
Communicate with the Board of Directors, staff, visitors, and external constituents regarding CEO matters.
Respond to inquiries, including those of a highly sensitive and confidential nature.
Maximize CEO efficiency by reading, researching, routing correspondence, drafting documents, and analyzing information.
Coordinate logistics, materials, and communications for all Board and Committee meetings, including booking facilities and catering.
Coordinate CEO travel arrangements and prepare expense reports or credit card substantiations.
Coordinate Foundation visits by outside professionals, handling itineraries, lodging, and meeting schedules.
Compile data, manage department files, and coordinate the compilation and distribution of meeting documents.
Monitor general office budgets, handle supply procurement, and open, sort, and distribute mail.
Manage office, building, and technology operations by collaborating with outside IT and maintenance vendors.
