Position Overview
We are seeking a highly organized, dependable, and service-oriented Office Administrator to help ensure the smooth operation of our office. This position supports the Office Manager and Director of Guest Relations in day-to-day operations, including customer service, basic bookkeeping, recordkeeping, scheduling, reservations, and purchasing.
The ideal candidate is an excellent communicator who remains calm under pressure, handles confidential information with discretion, and enjoys helping guests, residents, employees, and coworkers.
Responsibilities
- Answer a multi-line phone system professionally and provide courteous, helpful service to callers and office visitors.
- Assist the Office Manager with scheduling applicant interviews, preparing new-hire paperwork, and conducting employee orientations.
- Learn and explain application procedures for prospective leaseholders, camp residents, seasonal RV guests, employees, and volunteers.
- Assist the Office Manager with preparing leases and related documents, scheduling lease signings, and maintaining leaseholder records.
- Assist with processing and recording summer camp payments.
- Learn and explain general facility policies to guests and leaseholders.
- Assist the Director of Guest Relations with reservations for facilities and services, including lodging, RV sites, boat launch access, boat slips, and storage space.
- Assist the Director of Guest Relations with scheduling housekeeping staff and preparing and distributing cleaning schedules.
- Register watercraft for boat launch access.
- Submit and track maintenance tickets and housekeeping requests.
- Monitor office and housekeeping supply inventories and place orders as needed.
- Prepare letters, notices, and other mailings.
- Help maintain the office’s shared Google Calendar.
- Maintain accurate records and safeguard confidential employee, leaseholder, guest, and organizational information.
- Perform other duties as assigned by the Office Manager, Director of Guest Relations, or Executive Director.

- Able to collect, enter, and maintain information accurately and thoroughly.
- Able to maintain a cash drawer and accurately record basic bookkeeping transactions.
- Comfortable with general business technology, including email, internet research, shared calendars, and electronic file storage.
- Working knowledge of Google Workspace.
- Able and willing to learn the basic functions of CampWise scheduling and registration software, QuickBooks accounting software, and the Square point-of-sale system.
