We are seeking a motivated and detail-oriented Purchasing & Office Coordinator who will also serve as the professional face of our office.
Position Overview
The Purchasing & Office Coordinator plays a key role in supporting purchasing and operational needs while also being the first point of contact for visitors, vendors, and incoming calls. This position is ideal for a business major or recent graduate who is personable, confident communicating with vendors, and eager to learn. You will be responsible for requesting pricing, comparing vendors, understanding the items being purchased, and representing the company in a professional and welcoming manner.
Key Responsibilities
- Serve as the face of the office by professionally greeting visitors, vendors, and guests.
- Answer and direct incoming calls while providing accurate information.
- Request and compare pricing from vendors for materials, tooling, and shop supplies.
- Communicate with suppliers via phone and email to negotiate pricing, lead times, and availability.
- Actively seek best-value purchasing options while maintaining quality standards.
- Review purchase orders for accuracy and completeness.
- Maintain organized purchasing records, pricing documentation, and vendor files.
- Perform tool and material cycle counts as needed.
- Collaborate with operations, accounting, and management to support purchasing needs.
- Support general office and administrative functions as required.
Requirements
- Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Prior office, purchasing, or administrative experience required.
- Personable, professional, and comfortable being the first point of contact.
- Confident making phone calls and communicating directly with vendors.
- Strong interpersonal, communication, and follow-up skills.
- Ability to quickly learn and understand the materials and items being purchased.
- Highly organized with strong attention to detail.
- Proficient in Microsoft Word, Excel, Outlook, and Teams.
- Self-motivated, dependable, and a team player.
- Manufacturing or machining experience is a plus, but not required.
