Position Summary
We are seeking a friendly, dependable, and professional Venue Tour Coordinator to conduct scheduled tours at two of our event venues: Oak Brook Manor and Millburn Stables.
This position is focused specifically on showing prospective clients the venues, explaining the available spaces and basic venue information, answering general questions, and accurately completing a tour sheet after every appointment. The sales team will handle pricing negotiations, proposals, contracts, and follow-up.
Primary Responsibilities
- Conduct scheduled venue tours at Oak Brook Manor and Millburn Stables
- Arrive before each appointment to ensure the venue is clean, presentable, and ready to be shown
- Welcome prospective clients and provide a professional, friendly tour experience
- Explain the venue spaces, layouts, amenities, capacity, and basic event options
- Answer general questions using approved venue information
- Complete the required tour sheet accurately after every tour
- Record client preferences, event details, questions, and level of interest
- Submit tour information promptly to the sales team for follow-up
- Communicate any client concerns or special requests to the appropriate team member
- Maintain organized records of all scheduled and completed tours
- Keep management informed of any venue presentation or maintenance issues noticed during a tour
- Travel between the two venues as scheduled
Role Limitations
This position does not independently:
- Negotiate pricing
- Prepare proposals or contracts
- Approve discounts or special requests
- Book events
- Manage events or venue operations
- Provide information that has not been approved by management
All sales-related questions and decisions must be referred to the sales team.
Qualifications
- Previous hospitality, customer service, event, real estate, or venue-tour experience is preferred
- Professional appearance and strong communication skills
- Friendly, confident, and comfortable speaking with prospective clients
- Dependable, punctual, and organized
- Able to follow an approved tour process and talking points
- Strong attention to detail when completing tour sheets
- Must have reliable transportation and be able to travel between both venues
- Must be available for a flexible schedule, including evenings and weekends when tours are scheduled
Schedule
Approximately 35 - 40 hours per week. The schedule will be based on tour appointments and may include weekdays, evenings, and weekends.
Pay: From $25.00 per hour
