Focal Pointe is seeking a motivated and detail-oriented Business Administrator to support the day-to-day administrative and operational functions of the organization. This position plays an important role in supporting compliance initiatives, fleet registration coordination, incident reporting, insurance claims administration, office operations, and cross-functional business support.

The Business Administrator will report directly to the Director of Administration.
Supervisory Responsibilities:
Duties/Responsibilities:
Answer phones professionally and provide exceptional customer service to employees, vendors, customers, and visitors
Greet guests and create a welcoming first impression that reflects the Focal Pointe culture and brand
Direct calls, questions, and visitors to the appropriate departments or team members
Assist with compliance tracking, documentation, and administrative reporting
Coordinate fleet registration renewals, vehicle documentation, and related recordkeeping
Support incident reporting processes and assist with insurance claim coordination and documentation
Maintain organized electronic and physical filing systems
Support office operations by monitoring and ordering office supplies and coordinating administrative needs
Coordinate employee uniform ordering and related vendor communication
Manage apparel webstore updates and support employee apparel initiatives
Work with vendors and branch teams to support operational and administrative needs
Assist with maintaining company records, forms, and operational documentation
Coordinate with Branch Administrators and leadership teams across multiple locations
Support special projects, process improvements, and company initiatives as assigned
Exhibit professional verbal and written communication with internal and external stakeholders
Assist with general administrative support and office coordination duties
Travel up to 10% within the Focal Pointe territory
Perform other duties as assigned

Education and Experience:
Bachelor’s degree preferred; business administration, management, communications, human resources, operations, or related fields encouraged to apply
Internship, administrative, customer service, operations, or office experience preferred

Visual Acuity: Requires the ability to read, proofread, and draft documents on a computer screen or in printed form with attention to detail and accuracy.
Hearing and Communication: Must be able to hear and understand spoken information in person, over the phone, and in meetings, and respond clearly and effectively to questions and requests.
Standing and Moving: Periodic standing or light moving of office equipment or materials may be required during the course of daily tasks.
Climbing Stairs: In offices with multiple floors, occasional stair climbing may be needed.
This job primarily operates in a general office setting. This role routinely uses standard office equipment such as computers, phones, and copiers. While performing the duties of this job, the employee frequently interacts with staff and the general public in person and via telephone and email.

Position Type and Expected Hours of Work This is a full-time in office position. Work hours are Monday through Friday, 8:00 a.m. to 5:00P.M., however some flexibility of the schedule is permissible with supervisor approval. Overtime, evenings and weekend work may be required for special events.
