Job Description Summary:
We are seeking an experienced Administrative Assistant to provide support to the Finance, Corporate Strategy, and Supply Chain teams. The Administrative Assistant is responsible for providing excellent service, follow-through, attention to detail, and reliable administrative support. The ability to support the leadership team and interact with staff at all levels while remaining resourceful, highly organized, and maintaining a high degree of professionalism and discretion is critical to this role.
The ideal candidate is a dynamic problem-solver who can multitask while maintaining complex schedules in a fast-paced environment. They will possess exceptional verbal and written communication skills and leverage their operational experience and critical thinking skills to anticipate needs and provide timely solutions. This role reports to the Associate Project Manager.
Essential Responsibilities:
Support Finance, Corporate Strategy, and Supply Chain leadership in daily administrative tasks
Coordinate complex travel arrangements using discretion and sound judgment
Function as a gatekeeper, including tracking and following up on office correspondence
Take initiative in executing a wide variety of administrative support duties, including managing complex calendars, coordinating meetings and travel, assistance with presentation preparation, taking meeting notes, etc
Perform administrative duties such as filing, copying, drafting documents
Run operational reports and track metrics to assist in process optimization
Research technologies, solutions, vendors, and other topics as needed, and prepare summaries of findings
Continually assess priorities and determine urgency of tasks at hand
Communicate effectively and professionally with internal managers, staff, and external parties
Exercise sound judgment and problem-solving skills that allow the office to function professionally and efficiently
Organize and help execute core processes including: processing vendor invoices, expense reporting, time tracking, staffing processes, etc. across the organization
Handle confidential information with discretion and professionalism
Cultivate relationships with employees and co-workers
Be available to work from the office and travel to offsite locations as needed to provide hands-on support for meetings, events, executive engagements, and related onsite logistics.

Required Qualifications:
College degree or equivalent professional experience
4+ years of experience as an Administrative Assistant in a professional, office environment
Experience with office administration, administrative procedures and recordkeeping systems
Excellent verbal and written communication skills
Strong organizational, analytical and problem-solving skills
Preferred Qualifications:
Experience with Microsoft Office (Word, Excel) and Google Workspace (Gmail, Calendar, Sheets, Slides)
Experience with Salesforce (or a comparable CRM)
Ability to prioritize tasks and anticipate changing needs
Ability to multitask in a fast-paced environment
Capacity to interact and interface with people on all levels and of all backgrounds
Ability to work well under pressure, proactively manage interruptions, and adjust priorities throughout the day
Aptitude to understand complex tasks and carry out directions independently
Ability to anticipate potential challenges, proactively develop contingency plans, and adapt quickly to changing priorities to ensure continuity of operations and successful execution of executive priorities, meetings, and events.
Self-directed and motivated; able to work independently as well as collaboratively with a team
Ability to handle high-pressure, high-volume workload
Travel: 30%
