We are seeking a Full-Time Medical Office Specialist to support our front desk, scheduling, and insurance authorization functions. This position is in-person with hours of 7:30am (possibly 8am) to 5pm.
In this role, you'll work closely with both our Imaging and Interventional Radiology teams and serve as a key resource for front office operations. In addition to providing exceptional patient service, the Medical Office Specialist is expected to take ownership of daily workflows, proactively identify and resolve issues, support operational efficiency, and help ensure a positive patient experience. We are seeking an experienced, dependable professional who is comfortable working independently, managing competing priorities, and serving as a knowledgeable resource for patients and team members alike. Compensation is based on experience and will be discussed during the interview process.
Responsibilities:
- Serve as a primary resource for front office workflow questions and day-to-day operational issues
- Assist in coordinating patient flow and scheduling priorities to optimize clinic efficiency
- Identify opportunities for process improvement and communicate recommendations to leadership
- Help ensure consistency in front desk procedures and patient service standards
- Support onboarding and training of new front office staff as needed
- Monitor work queues and proactively address scheduling, registration, or authorization concerns
Other Responsibilities:
- Answer and direct incoming telephone calls
- Schedule appointments for imaging studies and interventional radiology clinic visits
- Gather patient information including demographics, insurance, relevant orders and clinical history
- Verify insurance and obtain all required pre-authorizations and referrals for imaging and clinic visits
- Greet patients in the office, collect balances due at time of service, and ensure that patients are served in a timely fashion
- Facilitate patient navigation for recommended follow up
- Ensure the comfort and peace of mind of those waiting for patients having procedures
Qualifications
- Minimum of 3 years of related experience in an imaging center or radiology practice
- Demonstrated ability to work independently and manage multiple priorities in a fast-paced environment
- Strong problem-solving, organizational, and customer service skills
- Experience training or mentoring staff preferred
- Familiarity with medical terminology, health insurance, imaging studies, and authorization processes
- Attention to detail and strong communication skills are required
