Position Summary
Arryva promises every new property owner a fully operational setup within 72 hours of signing on. Delivering on that promise requires one thing above everything else: complete, accurate property information collected quickly and without friction. The Property Onboarding Coordinator owns that process.
When a new owner signs with Arryva, you take over immediately. You introduce yourself, set expectations, and begin collecting everything the operations team needs to get the property live, from wifi credentials and access codes to house rules, emergency contacts, and cleaning supply locations. Most new owners are excited but disorganized. They forget things, go quiet, or do not realize what they need to provide until someone asks. You are the person who builds the automated reminder sequences, follows up persistently, and does not let an onboarding stall because an owner forgot to send a lock code.
This role is equal parts coordinator, communicator, and automation builder. The process you walk into will be functional but not perfect, and that is intentional. We are hiring someone who sees an imperfect process as an opportunity, not a problem. The work you do in your first 90 days will shape how Arryva onboards clients for years to come.
AI Fluency Requirement - Non-Negotiable
Arryva is an AI-first organization. Every member of our leadership and operations team is expected to actively use AI tools in their day-to-day work - not as a novelty, but as a core productivity multiplier. This role requires genuine curiosity about AI, comfort experimenting with tools like Claude, ChatGPT, and workflow automation platforms, and the judgment to know when AI helps and when it doesn't. If AI makes you uncomfortable, this is not the right role.
Key Responsibilities
Property Information Collection: Own the full information collection process for every new Arryva property owner from signed agreement through completed handoff to the operations partner. Reach out immediately upon signing, set clear expectations for what is needed, and collect all required property details including wifi credentials, access codes, gate and door entry instructions, utility locations, emergency contacts, house rules, and property-specific operational notes. Maintain a complete and accurate property profile for each client and flag any missing information before handoff is initiated.
Follow-Up Automation and Reminders: Build and manage automated reminder sequences that keep new owners moving through the onboarding checklist without requiring manual follow-up at every step. Design workflows that trigger outreach at defined intervals when required information has not been received, escalating in frequency and urgency as deadlines approach. Use tools such as Zapier, Make, or n8n to automate routine outreach, status updates, and internal notifications. Continuously improve sequences based on where owners most commonly stall.
Operations Partner Handoff: Prepare and submit complete property packages to the operations partner once all required information has been collected and verified, ensuring every handoff is clean, complete, and on time. Serve as the internal point of contact between the Arryva client-facing team and the operations partner during the onboarding window. Track handoff status for every property and confirm activation until each property is confirmed live and fully operational.
Owner Experience During Onboarding: Maintain a warm, professional, and proactive communication style with every new owner throughout the onboarding process, making them feel supported even when the process requires persistent follow-up. Set clear expectations at each stage so owners always know what is needed, why it matters, and what happens next. Surface feedback, identify friction points, and recommend changes that make the process faster and easier for everyone.

Owner Experience Driver: New owners form their first impression of Arryva during the onboarding window. The communication style, responsiveness, and professionalism you bring to every interaction directly shapes whether clients feel confident they made the right choice.
Automation Builder: By building smarter reminder sequences and reducing manual follow-up, you will free the team to focus on growth rather than chasing missing lock codes. Every workflow you improve multiplies across every future onboarding.
Qualifications
Required:
2 or more years of experience in a coordinator, onboarding, customer success, or operations role, preferably at a startup or high-growth company
Demonstrated experience building or managing automated workflows and reminder sequences using tools such as Zapier, Make, n8n, or equivalent platforms
Strong organizational skills with the ability to manage multiple active onboardings simultaneously without losing track of details or missing follow-up windows
Clear, professional, and persistent communication style in writing with the ability to follow up repeatedly without alienating the person you are chasing
Comfort operating in ambiguity and building processes in an environment where the playbook is still being developed
Preferred:
Experience in short-term rental management, hospitality operations, or property management in any capacity
Familiarity with Hostaway or similar property management systems
Background in customer-facing onboarding or implementation coordination at a SaaS or technology company
AI fluency and practical use of AI tools to accelerate communication, documentation, and workflow automation
