Administrative Assistant – Property Management

About the Role
We are seeking a professional, organized, and customer-focused Administrative Assistant to support our growing Property Management Division. This position plays a key role in supporting the daily operations of our Orlando and Clermont offices, delivering exceptional service to property owners, tenants, vendors, and team members while helping ensure an efficient and positive office environment.

Responsibilities
- Answer and direct incoming phone calls in a professional and courteous manner
- Serve as a primary point of contact for tenants, property owners, vendors, and visitors
- Review application(s) for completeness and adherence to policy
- Receive and properly enter payments, electronically enter bank deposits
- Enter vendor invoices for payment
- Organize and schedule appointments, meetings, inspections, and maintenance coordination
- Draft and distribute emails, correspondence, notices, letters, forms, and other communications
- Assist with preparing regularly scheduled reports and property management documentation
- Maintain accurate filing systems and electronic records
- Update and maintain office procedures and administrative processes
- Order and manage office supplies and inventory
- Maintain and update contact databases
- Provide administrative support to Property Managers and office staff
- Assist with general office operations and special projects as needed
Qualifications
- Proven experience as an Administrative Assistant, Office Assistant, or similar role
- Proficiency with Microsoft Office Suite, including Word, Outlook, and Excel. AppFolio a plus
- Excellent time management and organizational skills
- Strong attention to detail and problem-solving abilities
- Outstanding written and verbal communication skills
- Ability to prioritize tasks, multitask effectively, and work independently
- High School Diploma or equivalent required
- Property management, real estate, or customer service experience is a plus
- Working knowledge of office equipment, including printers, scanners, and multi-function devices
