Position Summary
EduCounsel LLC. is recruiting on behalf of a confidential behavioral health organization in Maryland seeking a professional, compassionate, and highly organized Behavioral Health Receptionist.
The Receptionist will serve as the first point of contact for clients, families, referral sources, community partners, and visitors. This position provides front-desk, scheduling, client registration, telephone, and general administrative support within a behavioral health setting.
The ideal candidate will have excellent customer service and communication skills, strong attention to detail, the ability to multitask, and a professional approach to working with individuals receiving behavioral health services.

Essential Responsibilities
Front Desk & Reception
- Greet clients, families, referral sources, vendors, and visitors in a professional and welcoming manner.
- Serve as the primary front-desk contact for the organization.
- Answer incoming telephone calls and direct callers to the appropriate staff member or department.
- Respond to routine inquiries and provide accurate information within the scope of the position.
- Receive and route messages to clinical, intake, administrative, and leadership staff.
- Maintain a professional, organized, and welcoming reception area.
- Assist clients upon arrival and communicate with appropriate staff regarding appointments.
- Manage incoming and outgoing mail, faxes, and routine office communications.
- Maintain a pleasant and accommodating demeanor with clients, staff, and visitors.
Client Scheduling & Administrative Support
- Schedule psychiatric, nursing, therapy, and other behavioral health appointments as directed.
- Confirm appointments and assist with appointment reminders.
- Assist clients with basic scheduling questions.
- Direct clinical, treatment, or insurance-specific questions to the appropriate staff member.
- Assist with new-client registration and collection of basic demographic information.
- Enter and update client demographic and contact information in the organization's EMR.
- Assist with processing incoming referrals and routing information to the appropriate intake or clinical staff.
- Support the intake department with administrative tasks.
- Notify appropriate staff when clients arrive, miss appointments, or require assistance.
- Maintain accurate and timely administrative documentation.
EMR & Technology
- Utilize electronic medical record systems, including ICANotes, for appropriate administrative and registration functions.
- Maintain accurate client information in electronic systems.
- Perform accurate and timely data entry.
- Demonstrate proficiency with Microsoft Word, Excel, Outlook, and other standard office applications.
- Maintain electronic and physical files according to organizational procedures.
- Protect confidential client information and follow HIPAA and organizational privacy requirements.
Communication & Customer Service
- Provide courteous and professional communication by telephone, email, fax, and in person.
- Communicate effectively with clients, families, referral sources, healthcare providers, and internal staff.
- Handle difficult or frustrated callers calmly and professionally.
- Recognize situations requiring clinical or administrative intervention and escalate appropriately.
- Maintain appropriate professional boundaries with clients.
- Demonstrate cultural sensitivity and respect when working with diverse populations.
- Provide Spanish-language communication when appropriate and within the employee's qualifications.
Behavioral Health Experience
Experience in a behavioral health or healthcare environment is preferred.
Familiarity with Maryland behavioral health services is a plus, including:
- Outpatient Mental Health Clinic (OMHC)
- Psychiatric Rehabilitation Program (PRP)
- Substance Use Disorder (SUD) services
- Residential Rehabilitation Program (RRP)
- Permanent Supportive Housing (PSH)
- Health Home services
- Supported Employment
Candidates do not need to have experience in every program listed above.
General Administrative Support
- Provide administrative support to clinical and administrative departments.
- Assist with preparing documents and materials for meetings and appointments.
- Assist with scheduling interviews for prospective employees when requested.
- Assist with scanning, copying, filing, faxing, and other routine office duties.
- Maintain office supplies and notify appropriate staff when supplies need to be replenished.
- Participate in staff meetings as requested.
- Perform other receptionist and administrative duties as assigned.
Qualifications Required
- High school diploma or equivalent.
- Previous receptionist, front-desk, administrative, healthcare, behavioral health, or customer-service experience preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional telephone etiquette.
- Basic computer proficiency.
- Strong attention to detail.
- Ability to maintain confidentiality.
- Ability to work effectively in a fast-paced environment.
- Ability to interact professionally and respectfully with individuals receiving behavioral health services.
Preferred
- Healthcare or behavioral health experience.
- Experience with ICANotes or another healthcare/behavioral health EMR.
- Familiarity with Maryland behavioral health programs.
- Previous medical or behavioral health front-desk experience.
- Bilingual English/Spanish communication skills.
- Experience working in an OMHC, PRP, SUD, RRP, or similar behavioral health setting.

Compensation
$19.00–$22.00 per hour, based on experience and qualifications.
