An Office Manager in a manufacturing facility is the operational backbone of the plant, bridging the gap between corporate administrative functions and the production floor. They oversee daily administrative operations, facility management, HR Responsibilities, while ensuring the facility complies with safety and company policies
Office Manager Responsibilities
- Facility Operations: Oversee daily office functions to maintain a clean, professional, and productive work environment.
- Vendor & Supply Management: Serve as the main point of contact for office vendors, and IT support.
- Accounting: Support accounting with light bookkeeping functions as needed.
- Event Planning: Coordinate logistics for company-wide meetings, End of the year party, and other events (e.g., catering, venue booking, travel).
- HR Functions: Track PTO accumulation and requests, benefits, salary reviews and administer changes to PEO systems as well as Correctives. Update employee manual and keep track of all HR Documentation and employee files. Supervise office staff and direct the CAS Team with high level inquiries. Full cycle recruitment, process weekly payroll and ensure established policies and procedures are adhered to.
- Renewals: Insurance renewals, Trademark registrations, MoCRA updates, and Sunbiz yearly renewals.
- Management Review: Participate in management review meeting and assist with ISO Certification Audits yearly.
- Computer Systems Administration: Assign and remove user access to various software systems.
- Executive Support: Manage calendars, travel arrangements, and meeting schedules for plant leadership and department heads.
- Information & Project Management: Prepare board materials, presentation decks, and confidential reports. Act as a liaison between the CEO, senior staff, and external partners.
- Confidentiality: Handle highly sensitive corporate, financial, and personal information with utmost discretion.
Key Skills & Qualifications
- Experience: 3-5+ years in executive administrative support and office operations, ideally supporting C-Level executives.
- Tech Proficiency: Mastery of Microsoft Office (Word, Excel, PowerPoint) and Google Workspace. Experience with CRM or bookkeeping software is a plus.
- Soft Skills: Exceptional organizational and time management skills. Must possess strong verbal and written communication, critical thinking, and problem-solving abilities.
Adaptability: The ability to multitask in a fast-paced, high-pressure environment while anticipating the needs of the CEO.
Pay: $52,000.00 - $55,000.00 per year
