Position Summary
The Caregiver Scheduler is responsible for coordinating and managing schedules for caregivers to ensure clients receive consistent, reliable care. This position works closely with caregivers, clients, and office staff to fill shifts, manage call-offs, and maintain proper coverage for all assigned cases.
Key Responsibilities
Scheduling
- Create and maintain schedules for caregivers
- Match caregivers to clients based on availability, location, skills, and client needs.
- Ensure all shifts and care hours are filled as assigned.
Communication
- Contact caregivers regarding available shifts, schedule updates, and changes.
- Notify clients of any schedule adjustments when necessary.
- Serve as the primary point of contact for caregiver call-ins and shift coverage.
Shift Coverage
- Quickly find replacement caregivers for call-offs, vacations, or emergencies.
- Monitor open shifts and ensure minimal disruption in client care.
- Coordinate last-minute staffing needs.
Documentation
- Maintain accurate caregiver schedules in scheduling software or agency systems.
- Track attendance, missed shifts, and schedule changes.
- Confirm caregiver availability and update records regularly.
Caregiver Support
- Build positive relationships with caregivers to maintain reliable staffing.
- Help coordinate caregiver availability and preferred schedules.
- Communicate concerns to management regarding staffing issues.
Problem Solving
- Address scheduling conflicts and coverage gaps quickly.
- Work with office staff to ensure client care plans are followed.
- Prioritize urgent cases and high-need clients.
Qualifications
- High school diploma or equivalent required.
- Experience in scheduling, staffing, or home healthcare preferred.
- Strong organization and multitasking skills.
- Excellent communication and phone skills.
