Job Summary
The Automotive Parts Trader & Matching Specialist utilizes digital parts trading platforms and matching programs to source, compare, and procure automotive parts for internal departments and external customers. This position is responsible for evaluating supplier bids, ensuring accurate part selection, and coordinating timely delivery through automated matching systems and vendor networks.
Essential Functions:
- Greets internal and external partners promptly and professionally.
- Uses automotive parts trading and matching platforms (e.g., PartsTrader, CCC ONE, RepairLink) to source parts based on vehicle and repair specifications.
- Reviews and evaluates multiple supplier quotes generated through matching systems, selecting optimal options based on price, availability, and delivery timelines.
- Confirms accurate part numbers using VIN, make, model, and year information.
- Coordinates procurement of OEM, aftermarket, and recycled parts through vendor networks.
- Reviews repair estimates and ensures matched parts align with required specifications and pricing guidelines.
- Communicates with vendors to confirm availability, negotiate pricing when needed, and resolve discrepancies.
- Places and tracks orders, ensuring timely delivery and fulfillment.
- Monitors and follows up on backorders or delayed shipments within matching platforms.
- Maintains accurate records of orders, pricing, and vendor performance within system tools.
- Processes invoices, verifies billing accuracy, and facilitates payments or approvals.
- Ensures internal teams (service, collision, or claims) are notified of part status and delivery updates.
- Identifies alternative sourcing solutions when parts are unavailable or delayed.
- Provides support for parts inquiries, including pricing, compatibility, and availability.
- Maintains organized digital workflows and system records for all procurement activities.
- May perform other duties as requested.
Required Education & Experience:
- High school diploma or general education degree (GED); or one to three years of related experience in automotive parts procurement, supply chain, or dealership operations; or equivalent combination of education and experience.
- Experience using automotive parts trading or matching platforms strongly preferred.
- Must have a valid driver’s license with an acceptable driving record as required by Human Resources.
- Dealership, collision center, or insurance-related parts sourcing experience preferred.
Knowledge, Skills and Abilities:
- Strong attention to detail, especially in part matching and order verification.
- Proficiency with inventory, procurement, and online matching software systems.
- Ability to analyze multiple supplier options and make cost-effective decisions.
- Strong communication skills for interacting with vendors, internal teams, and customers.
- Organizational skills with the ability to prioritize tasks and manage multiple orders simultaneously.
- Intermediate language skills, including reading and interpreting repair estimates, technical parts data, and system documentation.
- Basic math skills such as calculating pricing comparisons, discounts, and cost ratios.
- Intermediate reasoning skills to evaluate variable factors such as availability, pricing, delivery timelines, and part compatibility.
Physical Demands:
While performing the duties of this job the employee is regularly required to talk or hear, frequently required to stand and walk, and occasionally required to sit; use hands to finger, handle, feel, reach with hands and arms, stoop, kneel, crouch, or crawl, smell, and occasionally lift and/or move up to 50 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.
Employee must be able to use different type of equipment and/or tools: computers, tire pressure gauge, flashlights, etc. 90% of the time the employee is operating mechanical equipment or office equipment.
The employee is expected to make quick decisions, communicate with visitors or customers, remember processes, maintain focus, complete tasks independently, complete tasks in situations that have a speed or productivity objectives and/or sales quota.
Work Environment:
While performing the duties of this job the employee is frequently exposed to outside weather conditions.
The employee is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually loud.

· Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position.
