SUMMARY
De Nora Water Technologies is adding one temporary Customer Service Representative to the Sugar Land Customer Excellence team for the September to December 2026 period. This is the heaviest order period of the year, and it coincides with the rollout of a new Salesforce to SAP order integration.
The role will be involved in three primary activities. It carries a share of daily order entry so the experienced representatives can concentrate on customer questions. It performs a second-level check on orders that reach SAP through the new integration, catching errors before they reach a customer. And it builds the customer contact dataset in SAP that the order acknowledgment and shipment notification automations depend on.
The person will succeed here by being accurate at volume, following an order through to delivery rather than stopping at data entry, and asking early when something does not look right. Prior experience entering orders in SAP S/4HANA system is preferred.
KEY COMPETENCIES
· Accurate at volume, and able to hold that accuracy when the queue is long.
· Owns an order through to delivery rather than stopping at data entry.
· Comfortable working inside ERP and CRM systems, and quick to learn a new one.
· Clear and prompt in written communication with customers and colleagues.
· Asks and escalates early rather than assuming, particularly during the system rollout.
· Steady when priorities shift between order entry, validation work and data preparation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned.
Order Entry
· Enter customer orders for the Gas Feed and other product lines into SAP accurately and within the agreed turnaround time.
· Check each purchase order against the quotation, price agreement and terms before entry, and query discrepancies with the responsible representative or inside sales rather than entering an assumption.
· Set up and maintain order data through the life of the order, including requested and confirmed delivery dates, shipping instructions, incoterms and customer reference numbers.
· Process order changes, additions and cancellations, and confirm them back to the customer.
· Apply and release delivery and billing blocks in line with the documented procedure.
Order Validation for the Salesforce to SAP Integration
· Perform a second-level check on orders created in SAP through the Salesforce 2.0 integration, comparing material, quantity, pricing, delivery date, ship-to party and payment terms against the source order.
· Correct what falls inside the role's authority, and route the rest to the responsible representative with enough detail for it to be fixed at source.
· Keep an exception log of what the integration gets wrong, so recurring faults can be raised with the project team, and track each item to closure.
· This activity will be concentrated mostly during the first 60 days after the 1 October 2026 go-live, when the volume of exceptions might be the highest.
Order Acknowledgment and Delivery Assurance
· Issue order acknowledgments to customers, confirm dates and shipping details.
· Monitor open orders against promised dates and raise a flag internally before a date is missed, not after.
· Coordinate with planning, production, the warehouse and logistics to keep shipments moving, and follow up on orders that stall.
· Send shipment notifications with packing list and tracking information, and respond to proof of delivery requests.
· Handle customer questions on order status, delivery and documentation, and escalate complaints through the established channel.
· Support returns, credit and debit requests by preparing the documentation required by the procedure.
Customer Contact Data in SAP
· Identify the correct customer contact points for order acknowledgment and shipment notification, working from internal records, order history, previous correspondence, and then directly confirm with key customer contact.
· Create and maintain those contacts manually in SAP, one account at a time, to the standard the internal procedures require.
· Flag duplicate, incomplete or conflicting customer records rather than working around them.
· Track completion by account so progress against the customer base is visible at any point.
Reporting and Administration
· Prepare ad hoc reports on request, covering areas such as order status, open orders and backlog, delivery performance, exception volumes and customer data completeness.
· Maintain the trackers and logs the team relies on.
· File order documentation according to the department's filing procedure.
· Note where actual practice differs from the written procedure, so the department can correct the documentation.
QUALIFICATIONS AND EXPERIENCE
Education
· High school diploma or equivalent required. Associate or bachelor's degree preferred.
Experience
· Two or more years in customer service, order entry, order management or inside sales support, in a manufacturing, industrial or distribution environment.
· Hands-on order entry experience in an ERP system is required. SAP, and the sales and distribution module in particular, is strongly preferred.
· Exposure to a CRM system is preferred. Salesforce is an advantage.
· Experience working through an ERP or CRM implementation, or through a period of high order volume, is an advantage.
Skills and Systems
· Intermediate Excel, meaning lookups, pivot tables, sorting and filtering on real data sets without help.
· Consistent accuracy in data entry, and the habit of checking work before releasing it.
· Clear written and spoken English.
· Able to hold several open threads at once and keep each one moving.
CERTIFICATES, LICENSES, REGISTRATIONS
None.
SUPERVISORY RESPONSIBILITIES
None.
