Payroll, Accounting & Human Resources Coordinator
Status: Full-Time, Hourly
Position Summary
The Payroll, Accounting & Human Resources Coordinator is responsible for supporting payroll, accounts payable, human resources, and benefits administration for multiple affiliated companies operating under separate Employer Identification Numbers (EINs). This position requires exceptional attention to detail, strong organizational skills, and the ability to manage confidential information while balancing responsibilities across multiple business entities.
Essential Duties and ResponsibilitiesPayroll Administration
- Process weekly payroll for multiple affiliated companies.
- Maintain employee payroll records and payroll system data.
- Process payroll deductions, wage garnishments, and other payroll adjustments.
- Maintain employee information within payroll and timekeeping systems.
- Assist with payroll reporting and compliance requirements.
- Respond to payroll-related employee inquiries.
Accounting & Accounts Payable
- Enter vendor invoices and maintain accounts payable records.
- Process weekly accounts payable for multiple affiliated companies.
- Monitor vendor statements and resolve outstanding balances.
- Assist with vendor account reconciliations and discrepancy resolution.
- Maintain accurate financial documentation and supporting records.
- Provide general accounting and administrative support as needed.
Human Resources & Benefits Administration
- Administer employee benefit enrollments, changes, and terminations.
- Determine employee eligibility in accordance with company policy.
- Coordinate COBRA administration.
- Maintain personnel files and employee records.
- Prepare onboarding and new hire documentation.
- Process employee status changes, including hires, transfers, and separations.
- Respond to unemployment claims, employment verification requests, and Friend of the Court orders.
- Communicate with benefit providers and third-party administrators.
Qualifications
- Associate degree in Accounting, Business Administration, Human Resources, or a related field preferred; equivalent experience will be considered.
- Two or more years of experience in payroll, accounting, accounts payable, human resources, or office administration.
- Experience with payroll systems and accounting software, preferably QuickBooks Online.
- Proficiency in Microsoft Office, particularly Excel.
- Strong organizational, communication, and problem-solving skills.
- Ability to maintain strict confidentiality and exercise discretion with sensitive financial and employee information.
- Ability to manage multiple priorities while supporting multiple affiliated companies operating under separate legal entities.
