Job Title: Administrative Coordinator

Job Summary:
Serves as an initial point of contact for consumers and internal teams. To ensure that services are being performed in compliance with Maryland COMAR regulations and as deemed necessary by Maryland Health Partners. Primarily focused on the coordination of the program’s referrals, intakes and administration of internal campaigns.
General Responsibilities:
- Responsible for processing referrals, and conducting intake interviews/assessments
- Administrative support and Intake for students/families, registration and coordination between families and clinicians for the delivery of School-Based mental health and Family Check Up services
- Tracks and manages referrals
- Communicating effectively with referral sources and client support systems
- Monitoring client’s records for adequacy and completeness of documentation
- Handles incoming calls during clinic hours while maintaining a polite, consistent phone manner using proper telephone etiquette
- Assist with case assignment. Develop agency reports and other electronic documents to track and communicate statuses of each consumer within the agency. Follow cases status assignments, and make updates as needed
- Co-chair case assignment meetings and ensure that all outcomes are captured/updated in the EMR
- Maintains documentation for MD authorizations and consults with Billing and Administrative staff on complex authorization
- Accurately ensures validity of treatment plan authorization start and end dates
- Monitors individual treatment plan due dates, as well as retrieve and update concurrent authorizations
- Maintains all facets of disposition including but not limited to, scheduling, agenda and status changes
- Regularly uploads paperwork into the EMR
- Regularly participate in staff and departmental meetings
- Identify, analyze, and interpret trends or patterns in data sets
Specific Responsibilities:
- Processing referrals for client enrollment
- Securing authorization from Maryland Health Partners (MHP)
- Conducting screenings, intake interviews, and rehabilitation assessments
- Scheduling diagnostic assessments with clinicians
- Maintaining weekly and/or monthly statistics and reporting to the executive team
- Assisting with the coordination of outpatient services
- Participate in marketing activities
- Regularly managing content and campaigns on social media platforms
- Processing electronic insurance verifications
- Acquiring data from primary and secondary sources
- Maintenance of data systems and generating analytical reports
- Register consumers for the client portal and provide ongoing support
- Participate in the Consumer Advisory Committee: Attend weekly and quarterly meetings, create marketing materials and distribute forms

Education/Training:
Bachelor’s degree, preferably in social or behavioral sciences, or 2 years experience in Healthcare Administration or a related field.
Experience:
- Bilingual (Spanish) Preferred
- At least two (2) years experience in a behavioral health office setting is preferable, but we are open to those with a strong background that lends well to our environment
Pay: $22.00 - $28.00 per hour
