Job Overview
Primary Responsibilities
Responsible for administering the day-to-day activities of the business office, including: management of the office practice management software and computer system, and the records of patients; scheduling of patients; accounts receivable and payable; referral based practice network; practice marketing, and recall.
Know and support the practice mission, long-term business plan and short-term goals. Assist the dentist with other tasks as assigned.
Duties
- Answer all incoming phone calls
- Patient appointment scheduling
- Manage patient financial accounts
- Prepare and send patient appointment reminders
- Prepare and send new patient, referral thank-you letters, referral update letters, and all correspondence
- Prepare and send correspondence as directed by the dentist
- Coordinate mailings of patient correspondence and promotional/marketing materials
- Oversee patient relations
- Receive patient complaints and respond as directed by the dentist
- Coordinate team meetings, arrange staff CE
- Make business travel arrangements for dentist and staff
- Support staff as needed (i.e., appointment scheduling, collections, insurance, etc.)
Accounts Receivable and Payable Management
- Enter patient financial activity in computer
- Verify and record accounts receivable activity
- Prepare bank deposits\Prepare statements
- Follow-up insurance claims
- Follow-up delinquent accounts
- Arrange payment schedules with patients
- Verify invoices with monthly statements
- Prepare daily statements and end of month statements for dentist
- Prepare materials for the accountant
- Review practice financial statistics regularly with dentist
Personal Requirements
Education/Experience
- High school diploma or equivalent
- Dental practice experience
- Working knowledge of computers for word processing, insurance claims processing and records management in chart or documents for Microsoft Word, Excel, and Eaglesoft Practice Management Software
- Commitment to Continuing Education (CE) for career development
Interpersonal
- Excellent communication skills
- Team player
- Conflict resolution experience
- Customer service or patient relations experience
- Able to communicate all concerns to the dentist
Additional or different duties may be assigned occasionally at employer’s discretion.
Pay: $18.00 - $22.00 per hour
