Noa Executive Realty is seeking a highly organized, professional, dependable, and motivated Personal Assistant & Marketing Coordinator to work directly with and support Emelia D. Noa, Principal Broker and Owner.
This position is designed to assist with executive support, marketing, social media management, CRM administration, calendar management, website management, client communications, community engagement, real estate operations, and business development activities.
The ideal candidate is eager to learn, technology-oriented, organized, and capable of handling multiple responsibilities while maintaining professionalism and confidentiality.

Direct Reporting Relationship
This position is employed exclusively by Noa Executive Realty and is assigned directly to support Emelia D. Noa.
The employee is not hired to serve as an assistant to independent agents or brokers affiliated with the company unless specifically directed by Emelia D. Noa.
The employee’s primary responsibility is to support the business operations, growth initiatives, executive functions, and organizational needs of Emelia D. Noa and Noa Executive Realty.
Only Emelia D. Noa, or a person designated by her in writing, may assign duties, projects, or priorities.

Primary Purpose
The primary purpose of this position is to assist in the growth, organization, and operation of Noa Executive Realty.
This includes:
Managing and maintaining CRM systems.
Managing calendars and scheduling.
Assisting with website administration.
Growing and managing social media presence.
Creating marketing content.
Building community engagement.
Supporting lead generation activities.
Maintaining client relationships.
Assisting with executive and office operations.
Supporting property management and Airbnb administration.
The employee will actively help position Noa Executive Realty as a trusted and recognizable community resource while supporting company growth objectives.

Executive & Administrative Responsibilities
Manage the Principal Broker’s calendar and scheduling.
Confirm appointments and meetings.
Coordinate consultations, showings, closings, inspections, and events.
Organize office files and systems.
Assist with client communication and follow-up.
Maintain office organization and supplies.
Support company events and community functions.
Perform office errands as directed.
Perform reasonable personal errands exclusively for Emelia D. Noa when requested.

CRM & Technology Responsibilities
Maintain and update company CRM systems.
Enter and track leads.
Manage lead follow-up workflows.
Maintain accurate client records.
Monitor lead nurturing campaigns.
Assist with reporting and pipeline management.
Maintain company cloud storage and digital filing systems.
Assist with automation systems and technology implementation.

Website & Online Presence
Update company website content.
Upload listings and property information.
Maintain agent profiles.
Publish educational content and announcements.
Monitor lead capture systems.
Coordinate website updates and vendor communication.

Social Media & Marketing Responsibilities
Create and publish a minimum of 10 quality posts weekly.
Post all listing changes within 24 hours.
Create holiday, seasonal, and community content.
Publish company announcements.
Promote open houses, events, and company initiatives.
Maintain branding consistency across all platforms.

Community Engagement Responsibilities
Join relevant local groups and organizations.
Build authentic relationships online and in person.
Engage in organic conversations.
Respond to comments and messages.
Request new followers and connections.
Follow back community members.
Share community information, local events, market updates, and educational content designed to create curiosity, trust, and engagement.

Real Estate Operations Support
Install and remove lockboxes.
Deliver and retrieve real estate signs.
Assist with open house preparation.
Coordinate property access when needed.
Deliver documents and materials to attorneys, vendors, contractors, clients, and business partners.
Assist with property checks and operational support tasks.

Airbnb & Property Management Support
The employee should become proficient in:
Airbnb platform management.
Listing creation and maintenance.
Uploading photos and property information.
Calendar management.
Platform synchronization.
Guest communication systems.
Property management software utilized by the company.
Updating pricing, amenities, and property details.

Performance Standards
Appointment Generation
The employee will actively support marketing, lead nurturing, and appointment generation efforts.
Appointments must:
Be booked within the applicable 30-day performance period.
Be confirmed through the company booking system.
Be verified by both the assigned agent and client.
Bonus Eligibility
To qualify for performance incentives:
Minimum of 10 appointments booked during the applicable performance period.
Minimum of 8 qualified appointments.
Only verified appointments count.
Appointments must be booked within the 30-day measurement period.
Resulting transactions should close within 60 days whenever possible.

Introductory Employment Period
This position is offered as a Temporary Introductory Position for the first ninety (90) days of employment.
The purpose of the introductory period is to evaluate:

Overall job performance
Upon successful completion of the introductory period, the employee may be offered Permanent Part-Time employment.
Continued employment is subject to satisfactory performance and business needs.

Company procedures

Confidentiality obligations continue after employment ends.

All company records, passwords, databases, social media accounts, marketing materials, CRM records, and digital assets remain the sole property of Noa Executive Realty.

Pay: From $13.00 per hour
