We are seeking a reliable, detail-oriented Office Assistant/Dispatcher to support daily operations at our HVAC company. This role involves scheduling service calls, dispatching technicians, communicating with customers, and preforming various administrative tasks to keep the office/showroom running smoothly.
Responsibilities:
-Answer incoming calls and respond to customer inquiries promptly and professionally.
-Schedule and dispatch service technicians for HVAC installation, maintenance and service repairs.
-Monitor technician's locations and job status to ensure timely service delivery.
-Coordinate daily service routes and priortize urgent/emergency calls.
-Maintain accurate records of service requests, work orders, and customer information.
-Process/finalize work orders, invoices, payments and assist with basic bookkeeping.
-Assist with general office duties including filing, customer data entry, and emails.
-Communicate effectively with field technicians/installers, customers and vendors.
-Follow up with customers post-service to ensure satisfactions.
Qualifications:
-High school diploma or equivalent.
-Prior experience in a dispatcher or office administrative roll preferred. (HVAC industry a plus).
-Strong organizational and multitasking skills
-Excellent verbal and written communication skills.
-Proficiency with office software.
-Ability to remain calm and efficient under pressure.
-Customer service mindset and problem-solving attitude.
Working Conditions:
-Office Enviroment
-Standard business hours 8:00a.m. to 4:30p.m. with occasional extended hours during peak season (at most 30 mins if you have a customer)
Compensation: Based on experience
Job Type: Part-time
Pay: $13.00 - $18.00 per hour
