Weller HIT is seeking a detail-oriented, organized, and motivated Administrative & Marketing Associate to support both our Operations and Marketing functions. This is a full-time, on-site role designed for someone who can provide approximately 20 hours per week of administrative and data-entry support, while also assisting with approximately 20 hours per week of marketing, branding, and business development support.
This role is ideal for someone who is dependable, accurate, creative, and comfortable balancing structured administrative tasks with marketing-related projects. The Administrative & Marketing Associate will help maintain efficient operational processes while also supporting Weller’s brand presence, client-facing materials, internal communications, and marketing initiatives.

Key Responsibilities
Administrative & Operations Support
· Perform data entry and maintain accurate records across internal systems and spreadsheets.
· Maintain, organize, and update spreadsheets, tracking logs, and reports.
· Assist with background check administration, including:
o Initiating background screening requests.
o Monitoring completion status.
o Following up on outstanding requests.
o Updating tracking logs and reports.
· Audit data for accuracy, completeness, and consistency.
· Assist with document collection, organization, and filing.
· Identify and report discrepancies, missing information, or process issues.
· Perform general administrative support tasks as assigned.
· Maintain professionalism and confidentiality when handling sensitive business information.
Marketing & Business Development Support
· Assist with the creation and updating of marketing materials, including brochures, one-pagers, presentations, email campaigns, and client-facing documents.
· Support social media content, company announcements, LinkedIn updates, and general brand messaging.
· Assist with website updates and maintaining consistent company information across platforms.
· Support proposal, RFP, and business development materials for healthcare clients.
· Help maintain consistent branding across company communications.
· Coordinate with leadership, HR, recruiting, and operations teams to promote company initiatives.
· Assist with internal communications, recruiting-related marketing, and employee engagement materials.
· Track basic marketing activity, engagement, and campaign results as needed.
· Assist with event preparation, client outreach campaigns, and other marketing projects.
Qualifications
Required
· High school diploma or equivalent.
· Proficiency with Microsoft Office 365 applications, including Excel, Word, Outlook, and PowerPoint.
· Knowledge of Adobe products.
· Strong attention to detail with a commitment to accuracy.
· Strong data-entry and spreadsheet management skills.
· Ability to follow instructions, procedures, and established workflows.
· Strong organizational and time-management skills.
· Ability to prioritize multiple tasks and meet deadlines.
· Comfortable learning new software, systems, and processes.
· Strong written and verbal communication skills.
· Ability to identify, report, and follow up on discrepancies.
· Professional handling of confidential business information.
· Positive attitude with a team-oriented mindset.
Preferred
· Associate or Bachelors degree
· Previous experience in data entry, administrative support, customer service, marketing, communications, or office administration.
· Experience supporting recruiting, staffing, healthcare, or HR operations.
· Familiarity with ATS systems, CRM systems, onboarding platforms, or similar business systems.
· Experience working with background screening vendors or compliance-related processes.
· Experience with Canva, PowerPoint, LinkedIn, email marketing platforms, or basic website tools.
· Healthcare, staffing, recruiting, or B2B marketing experience is a plus.
Compensation & Work Environment
· On-site position.
· Full-time role, approximately 30 hours per week.
· Standard business hours.
· Compensation: $37,000-42,000 per year based on experience.
· Role responsibilities are expected to be split between administrative/operations support and marketing/business development support based on company needs.
