Job Summary
We are seeking a dynamic and highly organized Law Office Administrator to lead the daily operations of our legal practice. This vital role combines administrative excellence with team leadership, ensuring the office runs smoothly, efficiently, and professionally. The ideal candidate will manage office procedures, oversee staff, handle all accounts payables and receivables, handle vendor relationships, and support the overall productivity of the firm. Candidate must have experience with attorney billing software and QuickBooks.
Responsibilities
- Oversee bookkeeping and budgeting activities to ensure accurate financial records and adherence to budgetary constraints using QuickBooks.
- Create monthly invoices to clients using CLIO Manage.
- Supervise administrative staff, providing training, guidance, and performance feedback to foster a motivated team environment.
- Coordinate vendor relationships, including office supplies, technology services, and other external providers to maintain operational efficiency.
- Handle human resources functions such as onboarding new employees, managing payroll using ADP or similar software, and supporting employee development initiatives.
- Support event planning for firm meetings, client seminars, or community outreach initiatives to enhance firm visibility and engagement.
Skills
- Proven experience in office management within a legal setting with strong organizational skills.
- Excellent communication skills with professional phone etiquette and the ability to interact effectively with clients, vendors, and team members.
- Proficiency in QuickBooks for bookkeeping tasks; familiarity with multi-line phone systems and calendar management tools.
- Knowledge of human resources practices including onboarding, employee relations, and compliance standards.
- Experience in event planning, vendor management, budgeting, and office supply procurement.
- Ability to handle multiple priorities efficiently while maintaining attention to detail in filing, record keeping, and administrative duties.
- Must have working knowledge of CLIO Manage.
Pay: $23.00 - $25.00 per hour
