Intake Coordinator
Full-Time | New York, NY | $18 - $20/hour
Position Overview
We are looking for a detail-oriented and compassionate Intake Coordinator to join our team. In this role, you will serve as the first point of contact for new clients, guiding them through the intake and enrollment process from initial inquiry to active service. You will play a critical role in ensuring clients receive timely, accurate, and supportive assistance from the moment they reach out.
Responsibilities
- Serve as the primary point of contact for new client inquiries via phone, email, and in person.
- Conduct intake screenings to collect required information, assess eligibility, and explain available services.
- Gather, review, and process required documentation to initiate client enrollment.
- Maintain accurate and up-to-date client records in the organization's database or case management system.
- Coordinate with internal departments to ensure a smooth and timely onboarding experience for new clients.
- Follow up with clients on outstanding documentation, pending approvals, and next steps.
- Respond to client questions and concerns with professionalism, empathy, and clarity.
- Track intake cases and report on volume, status, and trends to management as needed.
- Escalate complex cases or eligibility concerns to the appropriate team members or supervisors.
- Support continuous improvement efforts by identifying gaps in the intake process and recommending solutions.
Qualifications
- Strong verbal and written communication skills
- Ability to make high-volume outbound calls with professionalism and empathy
- Excellent organizational skills with strong attention to detail
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
- Basic computer proficiency (email, spreadsheets, CRM/database systems)
- Reliable, self-motivated, and comfortable working independently
- Previous experience in customer service, call center, or healthcare coordination is a plus

- Job Type: Full-Time
- Schedule: Monday through Friday, 9:00 AM to 5:00 PM
- Location: In-office Queens
