Office Assistant
Part-Time, 10-15 hrs/week

Job Description:
Seeking a professional, experienced Office Assistant for very flexible part-time work alongside our full-time Office Manager. Work is 90% remote after an in-person training probationary period has been completed. Aside from training, in-person shifts include Team meetings, focused training shifts, and optional co-working days. The Office Assistant will work alongside the Office Manager on day-to-day tasks including:
- Client communication (via email)
- Maintaining booking calendar for 8+ photographers and photography assistants
- File organization and management
- Project management and assistance
Some examples of project management would include (but are not limited to): creating and maintaining a registration form for a client portrait day; creating assigned tasks for Team members for long-term video projects; coordinating with the owners on marketing campaign projects.
You'll be helping support a creative Team of photographers who do PR/Commercial photo and video work, and you'll be a vital part of making some HUGE projects happen.
You will work most closely with the Office Manager on a day-to-day basis, and work with the entire photography Team virtually during the week. This role requires at minimum, one weekly scheduled video meeting (cameras optional) and the ability to accommodate video or voice calls throughout the week.
Alongside the Office Manager, you will communicate with clients, record project notes in the calendar assignments as well as within our internal project management system, and coordinate on the schedule with the Photography Team. You’ll work on longer-term ongoing projects including maintaining an accurate client data base, monitoring marketing campaigns, and assisting the Office Manager to create and send monthly newsletter updates to portrait clients.

This role will require in-person training. It starts at 10 hours a week with the opportunity to expand to 15 hours after training has completed.

Requirements:
- Professional communication skills, both spoken and written
- Ability to quickly learn & pick up tech (online apps we use for online scheduling, task management, email, project workflows, etc)
- Self-motivated and incredibly reliable to complete assigned tasks without supervision and be proactive within your role
- Can learn on your own with our video tutorials as part of training
- Excellent communication skills within a team setting
- Problem-solving (owns up to mistakes and focuses on fixing them, sees gaps in current processes and able to present a solution, etc)
- Able to work within regular business hours (8am-5pm) on a flexible part-time schedule
- Able to stay on top of project deadlines
- Incredibly detail-oriented (able to spot mistakes within a calendar booking, hyper-attention to spelling, etc)
- Ability to create and edit documents and maintain branding/design across documents; good sense of clean, modern document design
- Flexibility to tackle one-off tasks as needed (ordering staff meals, proof-reading a newsletter, etc)
- Familiar with or prior experience with Apple systems (Calendar, Numbers, Notes, etc) and/or Google Workspace (Drive, Docs, Sheets, etc)
Would be GREAT if you have experience with:
- 37 Signals - Basecamp and Hey! Email
- Xero Accounting
- Pumble/Slack
- Canva
- Mailing apps similar to Mailchimp
- Online forms similar to Jotform
- Web-design basics in apps like Wordpress or Squarespace to fix typos/links in a website
