The Role: Office Operations & Customer Support Coordinator
We’re looking for someone organized, dependable, friendly, and highly detail-oriented to help manage the day-to-day operations of our office and support our customers, vendors, and internal team.
In plain English, you’ll be one of the people who helps keep the office moving. You’ll answer incoming calls, help customers place orders, troubleshoot questions or concerns, keep supplies and office needs organized, support bid opportunities, and coordinate with vendors to help make sure important products stay in stock.
This is a hands-on, communication-heavy role. Some days may be focused on answering phones and helping customers. Other days may involve tracking down information, completing documentation for bids, following up with vendors, organizing office needs, or making sure small details don’t turn into bigger problems.

What You’ll Own:
Office Operations - Primary Focus
- Help manage the day-to-day operations of the office so things run smoothly
- Keep office supplies, materials, and basic operational needs organized and accounted for
- Help maintain a clean, professional, and functional office environment
- Support internal team members with administrative needs, follow-ups, and coordination
- Keep track of important details, open tasks, and ongoing office needs so nothing slips through the cracks
- Help improve internal processes as the company continues to grow
Customer Support & Order Assistance
- Answer incoming phone calls from customers in a friendly, professional, and helpful way
- Help customers place orders, ask product questions, and get the information they need
- Troubleshoot customer concerns and coordinate internally when additional support is needed
- Provide updates related to order status, product availability, shipping, and general inquiries
- Make sure customer communication feels clear, kind, and reliable
- Escalate issues when needed while still helping the customer feel taken care of
Bid & Documentation Support
- Actively help uncover new bid opportunities that may be a good fit for Endure
- Review bid requirements and help gather the information needed to apply
- Complete forms, organize documentation, and support the submission process
- Track deadlines, required documents, follow-ups, and next steps
- Work with internal team members to make sure pricing, product details, certifications, and supporting materials are accurate
- Help build a more organized system for tracking bids and future opportunities
Vendor & Inventory Coordination
- Communicate with vendors to check product availability, lead times, pricing, and order status
- Help ensure important products remain in stock or are reordered in a timely manner
- Follow up with vendors when there are delays, shortages, or open questions
- Coordinate with the operations/logistics team to keep information accurate and up to date
- Help identify potential supply issues early so the team can plan ahead
Who You Are
- You’re organized, dependable, and comfortable keeping track of many moving pieces
- You’re friendly and professional on the phone, even when customers have questions or concerns
- You communicate clearly and follow through when you say you will
- You’re detail-oriented - forms, deadlines, product information, order details, and vendor updates matter here
- You’re comfortable asking questions, taking notes, and learning new systems
- You enjoy helping people and making things easier for both customers and the internal team
- You can stay calm and focused when the day gets busy
- You’re proactive and willing to jump in where needed
- Bonus, but not required: you’ve worked in office administration, customer service, purchasing, bid support, vendor coordination, or healthcare/medical products
Tools You’ll Probably Use
Email, phone systems, Google Sheets/Excel, CRM tools such as HubSpot, internal order/shipping systems, vendor portals, bid platforms, and shared documentation tools. If you’ve used Shopify, Amazon, EDI, Fishbowl, or similar systems, even better. If not, we’ll train you.
