Job Summary
Blue Ridge Orthopaedics seeks a detail-oriented and highly organized Pre-op Surgical Clearance Coordinator to manage and coordinate pre-operative medical clearances for surgical patients. This role is critical in ensuring patients are medically optimized for surgery by coordinating appointments, communicating with patients and provider offices, and tracking all required documentation in a timely manner.
The ideal candidate has strong communication skills, medical office experience, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Receive and manage surgery clearance requests via electronic tasking (eCW TEs) from surgery scheduling and provider teams.
- Schedule pre-operative clearance appointments with primary care providers and specialists (cardiology, pulmonology, endocrinology, etc.) as required.
- Communicate appointment details clearly to patients and answer questions regarding the clearance process.
- Document all patient and provider communications accurately in eCW.
- Generate and fax clearance letters to providers outlining surgery details, required evaluations, and fax destinations for completed clearances.
- Obtain lab results and EKGs from eCW, Meditech, or EPIC and forward them to appropriate provider offices.
- Follow up persistently with provider offices to obtain missing clearances, lab results, and EKGs.
- Review received clearances for completeness, including:
- Physical examination documentation
- Heart and lung assessments
- Statement of surgical optimization or anesthesia cardiac risk assessment
- Clearance dated within 30 days of surgery (unless surgery is at Fauquier Hospital or the Procedure Room)
- Ensure all clearance documentation is forwarded to Blue Ridge Orthopaedics and the surgical facility.
- Maintain and update electronic tasks daily to reflect follow-up needs and deadlines.
Qualifications
- High school diploma or equivalent required; medical office training or certification preferred
- Minimum of 1–2 years experience in a medical office, scheduling, or surgical coordination role
- Familiarity with EMR systems (eCW experience strongly preferred)
- Knowledge of pre-operative clearance requirements and medical terminology
- Strong organizational skills with attention to detail
- Excellent verbal and written communication skills
- Ability to multitask, prioritize, and meet time-sensitive deadlines
- Professional phone etiquette and patient-centered approach
Preferred Skills
- Experience working with multiple healthcare systems (eCW, Meditech, EPIC)
- Prior experience coordinating surgical clearances or referrals
- Ability to work independently and follow established protocols
