About Atlas Community Care
Atlas Community Care is a home care agency serving Montana seniors and adults with disabilities who want to remain safely in their own homes. We're a small, growing team, and the person in this seat will have real ownership of how the Montana office runs day to day.
What You'll Do
- Scheduling. Build and maintain caregiver schedules against authorized service plans. Handle coverage changes and schedule adjustments.
- Visit verification. Review daily electronic visit records, catch missed or incomplete entries, resolve discrepancies with caregivers, and submit clean, verified hour totals to ownership.
- Client and caregiver records. Maintain complete, audit-ready client files and caregiver personnel files. Track service authorizations, recertification dates, and expiring credentials so nothing lapses.
- Onboarding. Move new caregivers through the onboarding pipeline — paperwork, background checks, training completion, competency scheduling with our Nurse Supervisor.
- Communication. Be the friendly, reliable voice families and caregivers reach when they call the office. Answer questions and escalate anything clinical or eligibility-related to the appropriate licensed staff.
- Intake. Receive and track incoming referrals, gather intake information, and coordinate scheduling for nurse assessments.
What This Job Is Not
We want to be direct so the right person applies:
- You will not handle billing, claims submission, or payroll. Ownership handles all of it.
- You will not make clinical decisions or perform assessments. Our Nurse Supervisor does that.
- You will not determine Medicaid eligibility. That runs through the state and our nurse review process.
Your financial-adjacent responsibility is narrow and specific: verify visit records are accurate, fix what's wrong, and hand ownership clean numbers. That's it — but doing it well matters enormously, so accuracy is the single most important trait for this role.
What We're Looking For
Required:
- 1+ years in an administrative, scheduling, coordinator, or office management role
- Comfortable working in multiple web-based systems daily and learning new ones quickly
- Strong attention to detail — you notice when a number is off
- Clear, warm phone and email communication
- Ability to handle confidential health information appropriately (HIPAA training provided)
- Reliable, on-site attendance in Billings, Monday through Friday
Preferred, not required:
- Experience in home care, home health, assisted living, hospice, or a medical office
- Familiarity with Montana Medicaid or DPHHS programs
- Experience with electronic visit verification, scheduling software, or CRM platforms
