Office Manager

Position Summary
We are seeking an organized, detail-oriented, and dependable Office Manager to oversee daily administrative operations while supporting our accounting and project management functions. This position requires someone who can work independently from both home and the office, manage multiple priorities, and maintain a high level of accuracy and confidentiality.
The ideal candidate will have experience with certified payrolls for military contracts, billing, and general office administration.
Key Responsibilities
- Prepare and process customer billing and invoicing.
- Complete and submit certified payroll reports for federal and military contracts in compliance with applicable regulations.
- Maintain payroll records and ensure all certified payroll documentation is accurate and submitted on time.
- Handle general clerical duties, including filing, data entry, scanning, and document management.
- Answer phones, respond to emails, and provide professional customer service.
- Assist with contract documentation and project paperwork.
- Maintain organized office records, both electronic and paper.
- Coordinate with management, field personnel, subcontractors, and clients as needed.
- Order office supplies and assist with general office operations.
- Perform additional administrative and clerical duties as assigned.
Qualifications
- Required experience preparing certified payrolls for military contracts.
- Previous experience in office management, administrative support, or bookkeeping.
- Experience with billing, invoicing, and accounts receivable.
- Strong understanding of prevailing wage and certified payroll requirements.
- Excellent organizational skills and attention to detail.
- Ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and office software.
- Experience with accounting software such as QuickBooks or similar is preferred.
- Ability to work independently in both a home office and an on-site office environment.
Preferred Qualifications
- Experience working with government or federal construction contracts.
- Familiarity with military contracting requirements and compliance documentation.
- Knowledge of certified payroll reporting systems and prevailing wage regulations.
