Customer Service Representative (CSR)
Position Overview
Baldwin CPAs is seeking a dependable and detail-oriented Customer Service Representative (CSR) to serve as the first point of contact for our clients and to support daily front-office and administrative operations. This role is ideal for someone who enjoys helping others, staying organized, and working in a professional, fast-paced environment. This position is a critical part of our tax processing that requires someone with very strong clerical and computer skills that can navigate through many electronic processes and tasks comfortably.
Responsibilities
- Greet and assist clients professionally, both in person and by phone
- Answer and route incoming calls
- Schedule appointments and manage calendars
- Cover the front desk and assist with office opening and closing procedures
- Create and manage tax, 1099, and ERC projects
- Prepare and send engagement letters and documents electronically
- Request and process consent forms for tax returns released to third parties
- Match invoices to checks and process deposits
- Stuff, process, and mail end-of-month invoices
- Handle certified, priority, FedEx, and UPS mail
- Scan and process tax documents and provide backup support during peak season
- Assist with tax return processing and delivery
- Maintain accurate files and documentation
- Support and coordinate firm events, trainings, and special projects as assigned
- Travel in-state once or twice a year as needed for meetings
- Travel in-town to clients, vendors, post office, etc. as needed
- Travel in-state to other offices if needed periodically
Qualifications
- High School Diploma or equivalent
- 6 months to 1 year of customer service and/or office experience
- Basic proficiency with Microsoft Outlook and Excel
- Strong attention to detail and data entry skills
- Excellent organizational and time-management abilities
- Strong written and verbal communication skills
- Professional demeanor with clients and team members
- Ability to work independently in a deadline-driven environment
- Comfortable using advanced technology and electronic processes while working in a virtual setting
- Must be comfortable with light travel and using personal vehicle when needed
