The Shipping and Receiving Coordinator is responsible for managing inbound and outbound freight, maintaining accurate inventory and shipment records, preparing shipping documentation, and ensuring materials are received, inspected, stored, picked, packed, and shipped accurately and on schedule. This role works closely with Production, Purchasing, Customer Service, Logistics, and carrier partners to support efficient, compliant, and timely shipping and receiving operations.
Essential Functions
The essential responsibilities of this position include, but are not limited to:
- Coordinate daily inbound and outbound freight activity, including carrier scheduling, dock operations, and internal material movement.
- Receive and inspect incoming shipments, verify quantities against purchase orders, and document any discrepancies or damage.
- Receive incoming core deliveries, inspect cores for defects that prevent reconditioning, and document rejections.
- Prepare all outbound shipping documentation, including bills of lading, packing lists, labels, and customs forms.
- Maintain accurate inventory, receiving, and shipment records within the ERP system.
- Communicate with carriers, vendors, customers, and internal departments to resolve freight delays, shortages, damages, and documentation issues.
- Support inventory accuracy through cycle counts, physical inventory, and stockroom organization.
- Assist with order entry and customer service activities as needed (e.g., shipment status updates, order confirmations).
- Identify and recommend process improvements to enhance shipment accuracy, reduce delays, and support on-time delivery performance.
- Operate material-handling equipment (e.g., pallet jacks, forklifts) as required.
Required Qualifications
- High school diploma or GED required; associate degree or coursework in logistics, supply chain, business, or related fields preferred.
- Two or more years of experience in shipping, receiving, logistics coordination, inventory control, or similar roles preferred.
- Proficiency with Microsoft Office applications (Outlook, Word, Excel); experience with ERP systems preferred.
- Strong attention to detail, organization, time management, and problem-solving skills.
- Ability to communicate professionally with carriers, vendors, customers, and internal teams.
- Forklift certification preferred.

Physical Requirements and Work Environment
- This role is performed in a combined warehouse, production, and shipping environment, requiring frequent movement between workstations, docks, storage areas, and inspection zones.
- Must be able to stand, walk, bend, reach, climb, and perform repetitive motions throughout the workday while handling materials and interacting with freight.
- Must be able to lift, carry, push, or pull up to 70 lbs. safely and occasionally maneuver heavier
items using pallet jacks, carts, or other approved material‑handling equipment.
- Work may involve operating or working near forklifts, pallet jacks, conveyors, and other moving equipment, requiring constant situational awareness and adherence to safety protocols.
- Exposure to varying temperatures depending on season and workflow, including warm production areas, cooler storage zones, and outdoor dock spaces during loading/unloading.
- Regular exposure to standard industrial noise levels, such as equipment operation, vehicle movement, and production activity; hearing protection may be required in designated areas.
- Work may require occasional outdoor activity, including receiving or staging freight, inspecting materials, or coordinating carrier pickups.
- Must follow all company safety policies, including wearing required personal protective equipment (PPE) such as safety glasses, gloves, steel‑toe footwear, and high‑visibility apparel when applicable.
- The role requires maintaining a clean, organized, and hazard‑free workspace, including proper storage of materials, safe stacking practices, and compliance with all facility safety standards.
- Employees must be able to respond quickly to changing priorities, such as unexpected deliveries, urgent shipments, or production‑driven material needs, while maintaining accuracy and safety.
