About the Position
We are seeking an organized, proactive, and customer-focused professional to become the central point of coordination for our office operations.
This position is ideal for someone who enjoys creating systems, solving problems, helping people, and keeping projects organized from start to finish.
As our Office Operations & Client Relations Coordinator, you will work directly with ownership to support daily office operations while providing exceptional service to our homeowners, vendors, subcontractors, and field team.
We believe in investing in our employees. The successful candidate will receive structured training through written Standard Operating Procedures (SOPs), Loom training videos, and hands-on coaching to confidently learn our systems and grow within the company.
ResponsibilitiesClient Relations
- Answer incoming phone calls and emails professionally
- Schedule homeowner consultations and appointments
- Follow up with prospective and existing clients
- Provide exceptional customer service throughout each project
- Maintain positive relationships with homeowners, vendors, and referral partners
Office Operations
- Create and manage projects within our CRM
- Schedule projects and maintain company calendars
- Prepare invoices, collect deposits, and process payments
- Coordinate project documentation from estimate through project completion
- Maintain organized digital and physical project files
- Coordinate referrals and client follow-up
- Order and maintain office supplies
- Assist with improving office systems and workflows
Permitting & Project Support
- Submit permit applications and Notices of Commencement (NOCs)
- Maintain contractor licensing documentation
- Track permit progress and inspections
- Assist with warranty documentation and project close-out
- Support project coordination between homeowners, vendors, and field staff
Administrative Support
- Process accounts payable
- Maintain organized company records and documentation
- Support ownership with daily administrative and operational tasks
- Assist with special projects as assigned
Minimum Qualifications
- Minimum of 2 years of experience working in a construction office or a closely related trade office is required.
- Experience coordinating schedules, projects, permits, or office operations.
- Strong customer service and communication skills.
- Excellent organizational and time management skills.
- Ability to multitask and prioritize work in a fast-paced environment.
- Proficient in Microsoft Office and Google Workspace.
- Comfortable learning new software and technology.
Preferred Experience
Experience with one or more of the following is preferred:
- Residential construction
- General contractors or subcontractors
- Roofing, windows & doors, plumbing, electrical, HVAC, restoration, or similar trades
- Property management
- Permitting and Notice of Commencement (NOC) preparation
- QuickBooks or similar accounting software
- CRM or job management software
- Accounts payable and invoicing
- Working directly with homeowners, subcontractors, and vendors
We will train the successful candidate on our internal systems, SOPs, and software.

Compensation & Benefits
- $22.00–$26.00 per hour (based on experience)
- Guaranteed 32-hour workweek
- Four-day workweek (Monday–Thursday)
- Paid 30-minute lunch
