Duties
- Greet visitors, clients, and vendors with professionalism and a friendly demeanor at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls efficiently using excellent phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks software
- Handle filing, document proofreading, and organize office supplies to ensure a tidy workspace
- Support calendar management and schedule appointments or meetings for staff members
- Assist with bookkeeping tasks, including basic invoicing and expense tracking
- Provide exceptional customer service by supporting client needs and responding promptly to inquiries
- Manage incoming and outgoing mail, packages, and courier services with attention to detail
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks accounting software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Exceptional communication skills, both verbal and written; bilingual abilities are a plus
- Proven clerical experience with data entry, filing, proofreading, and document management
- Knowledge of multi-line phone systems and phone etiquette to handle calls professionally
- Ability to manage time efficiently while juggling multiple responsibilities simultaneously
- Prior office management or administrative experience preferred; experience as a dental or medical receptionist is advantageous
- Personal assistant or customer support background enhances your ability to anticipate needs and provide top-tier service
- Bilingual Spanish and English
