Medical Receptionist – Dermatology

Scenic Dermatology is an independent, physician-led, family-owned dermatology practice in Chaska. We are growing our team and looking for an exceptional full-time Medical Receptionist to become a central part of our front office.
This is not simply a job answering phones and checking patients in. Our receptionist is often the first person a patient speaks with and one of the first people they meet when they arrive. We are looking for someone who can make patients feel genuinely welcome while also working quickly, accurately, and confidently with technology.
We care just as much about how you make people feel as how efficiently you get things done.
What you'll do
You will help keep the front of the practice running smoothly by:
- Warmly greeting patients and helping them through check-in and check-out
- Answering incoming calls through RingCentral with professionalism, patience, and good judgment while also managing the front desk
- Scheduling, rescheduling, and coordinating appointments accurately, with awareness of provider preferences and patient needs
- Accurately entering and updating patient demographic and insurance information
- Verifying insurance eligibility and dermatology-specific benefits before visits, including commercial, Medicare, Medicaid, and TRICARE plans
- Using payer websites and insurance portals to research coverage, eligibility, deductibles, copays, coinsurance, referrals, network status, prior authorization requirements, and other routine insurance information
- Identifying missing information or insurance issues and helping resolve them before they interfere with a patient's visit
- Documenting eligibility and benefit details clearly and accurately in the patient's record
- Troubleshooting routine eligibility, network, referral, or authorization issues in collaboration with billing and the provider
- Collecting copays, deductibles, coinsurance, self-pay charges, product purchases, and other patient payments when appropriate
- Helping patients with routine billing and insurance questions while recognizing when an issue needs to be escalated
- Receiving, scanning, organizing, and routing referrals, records, forms, correspondence, and other documents
- Creating and routing accurate telephone and patient messages
- Communicating clearly with patients, medical assistants, the physician, pharmacies, referring offices, insurance companies, and other healthcare organizations
- Working across our electronic health record, scheduling system, RingCentral, Microsoft 365, insurer portals, Apple computers and iPads/iOS, electronic forms, PDFs, faxing/scanning, and other web-based tools
- Coordinating with the clinical team to support smooth patient flow
- Helping identify missing information or unfinished tasks before they become problems
- Keeping the reception and waiting areas organized and welcoming
- Maintaining patient confidentiality and following HIPAA requirements
- Pitching in with other administrative needs when appropriate

- Communicate clearly and professionally in person, by phone, and in writing
- Have good judgment about what you can handle yourself and what needs to be escalated
- Are dependable, punctual, and take ownership of your work
- Like being part of a small team where your contribution is visible and important
- Enjoy learning and finding more efficient ways to work
Strong computer skills are important for this position. We do not mean simply being familiar with email or Microsoft Word. The right person should be comfortable learning unfamiliar software, navigating multiple systems and websites, entering information accurately while communicating with patients, researching information in payer portals, and independently handling routine technology tasks.
Experience and qualifications
Required:
- High school diploma or equivalent
- Strong customer-service and communication skills
- Comfort working extensively with computers
- Ability to maintain confidentiality and handle sensitive patient information professionally
- Reliable attendance and ability to work our regular weekday clinic schedule
Preferred, but not required:
- Previous medical, dental, veterinary, healthcare, hospitality, banking, salon/spa, or other high-service front-desk experience
- Experience with medical scheduling or electronic health records
- Experience checking health insurance eligibility or benefits
- Experience using health insurance websites or payer portals
- Familiarity with health insurance terminology, including deductibles, copays, coinsurance, referrals, prior authorizations, and network participation
- Familiarity with medical terminology
Previous dermatology experience is not required. We would rather hire an exceptional learner with outstanding people skills and strong technology aptitude than limit this role only to candidates who have already worked in a dermatology office.
Compensation
$18–$23 per hour, based on relevant experience, qualifications, and demonstrated skills.

Our interview process
Because interpersonal skills and computer fluency are both important for this position, selected applicants will complete a brief, job-related work sample during the interview process. The exercise may include basic typing, computer navigation, scheduling, information entry, insurance-portal-style tasks, and simulated patient-service situations. No specialized dermatology knowledge is expected.
