We are seeking a highly organized and detail-oriented Administrative Assistant to support the Safety Management Team in a manufacturing environment. This person will help manage safety documents, track important safety data, schedule meetings and training sessions, and provide general office support.
This is a great opportunity for someone with strong office skills who enjoys keeping things organized, accurate, and on schedule.
Key Responsibilities:
Documentation Management:
Upload, organize, and maintain safety-related documents, including lockout/tagout documentation, risk assessments, hazard analyses, and other plant safety records.
Help make sure safety documents are accurate, up-to-date, and easy for the Safety Management Team to access.
KPI Tracking and Reporting:
Track and update safety-related data using spreadsheets.
Pull, compile, and organize KPI information related to safety performance.
Assist with preparing reports, tracking metrics, and identifying trends.
Meeting and Training Support:
Schedule and coordinate safety meetings, audits, inspections, training sessions, workshops, and safety drills.
Maintain training records, attendance logs, schedules, and certification information.
General Administrative Support:
Answer phones, respond to emails, and provide administrative support to the Safety Management Team.
Assist with organizing safety-related events, meetings, audits, and records.
Perform other administrative tasks as needed to support the safety and operational needs of the plant.
Qualifications:
2+ years of administrative or office support experience preferred.
Manufacturing, industrial, safety, HR, compliance, or document control experience is a plus.
Strong Microsoft Excel skills, including data tracking, spreadsheets, formulas, sorting, and filtering.
Experience creating PowerPoint presentations.
Experience with calendar management, meeting scheduling, and spreadsheet tracking.
Basic knowledge of Microsoft Outlook, Word, and Teams.
Ability to generate reports, track metrics, and maintain accurate records.
Strong organizational skills, communication skills, and attention to detail.
Ability to manage multiple tasks and deadlines.
High school diploma or equivalent required; additional administrative training preferred.
Physical Demands:
Ability to sit for extended periods, operate office equipment, and communicate effectively.
Occasional need to lift or move office supplies or materials up to 25 lbs.
