Overview
We are seeking a highly organized and detail-oriented Office Support Specialist to join our team. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong computer literacy, excellent communication skills, and experience in office management or clerical support. Bilingual abilities are a plus to assist diverse clients and team members. Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks such as scheduling, record keeping, and bookkeeping
- Support calendar management and appointment scheduling for staff and clients
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
- Assist with office management tasks including supply inventory, mail distribution, and general administrative support
- Maintain organized files both digitally and physically to ensure quick retrieval of information
- Support personal assistant duties as needed, including task prioritization and time management
Experience
- Prior office experience or clerical background preferred; experience in medical or dental receptionist roles is a plus
- Familiarity with QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry systems
- Proven ability to handle multi-line phone systems and provide exceptional customer service
- Bilingual skills are highly desirable to effectively communicate with diverse clientele
- Strong organizational skills with attention to detail in proofreading and document management
- Experience in office management or administrative roles demonstrating time management and multitasking abilities
- Personal assistant or medical receptionist experience is advantageous but not required; training will be provided for specific duties #INDP
Pay: $19.00 - $21.00 per hour
