Job Summary
Chaim Gitelis DO PC is seeking a highly organized and detail-oriented HR Timekeeping & Labor Coordinator to join our Human Resources team. This position is responsible for managing employee timekeeping, payroll support, onboarding, labor administration, and workforce operations across multiple departments.
The ideal candidate is someone who enjoys problem-solving, thrives in a fast-paced environment, and takes pride in ensuring payroll accuracy and operational efficiency. This role serves as the primary point of contact for employee timekeeping and labor-related matters while working closely with Human Resources, management, and payroll.
What You'll DoTimekeeping & Labor Administration
- Review and audit employee timecards for accuracy.
- Investigate and resolve missing punches, attendance issues, scheduling discrepancies, and payroll exceptions.
- Monitor employee hours and labor allocation across departments.
- Communicate with employees and supervisors to resolve timekeeping issues.
- Ensure compliance with company attendance and timekeeping policies.
- Assist leadership with labor reporting and workforce tracking.
Payroll Support
- Review employee hours prior to payroll processing.
- Research payroll discrepancies and coordinate corrections.
- Maintain payroll-related records and documentation.
- Support payroll processing to ensure employees are paid accurately and on time.
Onboarding & Human Resources
- Coordinate onboarding for new employees and independent contractors.
- Prepare and maintain employee personnel files.
- Ensure employment documentation is complete and compliant.
- Track licenses, certifications, credentialing, and required documentation.
- Assist with new hire orientation and onboarding activities.
Recruiting Support
- Schedule candidate interviews.
- Coordinate recruiting activities and hiring workflows.
- Assist with staffing initiatives across multiple departments.
Employee Relations
- Serve as a resource for employees regarding payroll, attendance, scheduling, and onboarding.
- Respond professionally to employee inquiries.
- Escalate concerns to management when appropriate.
Operational Support
- Assist leadership with workforce planning and labor management.
- Support HR operations during periods of increased hiring.
- Recommend process improvements to improve payroll accuracy and operational efficiency.
- Complete additional HR and operational projects as assigned.
QualificationsRequired
- Minimum of 2 years of experience in Human Resources, Payroll, Timekeeping, or Workforce Administration.
- Strong organizational and analytical skills.
- Excellent attention to detail.
- Proficient in Microsoft Excel and Microsoft Office.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities while meeting deadlines.
- Experience maintaining confidential employee information.
- Strong customer service and problem-solving abilities.
Preferred
- Experience with payroll and timekeeping software (Fingercheck experience is a plus).
- Experience supporting recruiting and onboarding.
- Healthcare or multi-location workforce experience preferred.
