Scheduling CoordinatorPosition Summary
The Scheduling Coordinator is responsible for creating, maintaining, and adjusting employee schedules for multiple swimming pool facilities. This position plays a critical role in ensuring that every location is properly staffed with qualified lifeguards, pool attendants, head guards, and supervisors.
The ideal candidate is highly organized, dependable, comfortable handling frequent schedule changes, and able to communicate professionally with employees, supervisors, and management. This is a fast-paced position that requires strong judgment, attention to detail, and the ability to resolve staffing emergencies quickly.
Primary Responsibilities
- Prepare and distribute weekly employee schedules for multiple swimming pool facilities.
- Ensure every facility has the proper number of qualified employees scheduled.
- Match employees to locations based on certification, experience, availability, transportation, age, and facility requirements.
- Review employee availability, time-off requests, resignations, and schedule restrictions.
- Contact employees to confirm assigned shifts and schedule changes.
- Find replacement coverage for call-outs, illnesses, emergencies, and last-minute staffing shortages.
- Maintain an updated list of available employees and on-call staff.
- Coordinate with supervisors, head guards, field staff, and management.
- Confirm that scheduled employees have current lifeguarding, CPR, first aid, and other required certifications.
- Monitor employee attendance, lateness, missed confirmations, and repeated call-outs.
- Keep accurate records of all schedule changes and employee communications.
- Communicate daily staffing concerns to management.
- Assist with assigning new employees to training facilities and appropriate work locations.
- Help evaluate whether employees are ready for additional responsibility or placement at larger facilities.
- Review daily clock-in information and report possible scheduling or attendance discrepancies.
- Maintain employee contact information and emergency coverage lists.
- Prepare schedules for weekends, holidays, special events, swim meets, and extended pool hours.
- Remain available during assigned hours to address urgent staffing issues.
- Protect confidential employee and company information.
- Perform other administrative and staffing duties as assigned.

Preferred Qualifications
- Previous scheduling, dispatching, staffing, office management, or administrative experience.
- Experience working in recreation, hospitality, security, healthcare, transportation, seasonal staffing, or a similar field.
- Familiarity with lifeguard certifications and swimming pool operations is helpful but not required.
- Experience supervising or coordinating teenagers and young adult employees.
- Knowledge of payroll timekeeping or employee scheduling systems is preferred.
Position Expectations
This position requires flexibility because swimming pool staffing can change due to weather, employee illness, transportation problems, emergencies, and facility needs. The Scheduling Coordinator must be willing to respond quickly, document all changes, and make sure management is immediately informed when a facility may not have proper coverage.
The successful candidate will be dependable, firm, fair, and capable of balancing employee needs with the responsibility of safely staffing every swimming pool.
