Bilingual Medical Assistant / Patient Care Coordinator — Spanish-English

Ingram Cosmetic Surgery is seeking a Spanish-English bilingual Medical Assistant/Patient Care Coordinator for a boutique cosmetic surgery practice in Nashville. This is a hybrid role for someone who is warm, organized, discreet, polished, and comfortable helping patients through a high-touch cosmetic surgery experience.
This position is more than a front-desk role. The right candidate will help with medical assisting, patient coordination, Spanish-speaking patient communication, lead follow-up, front-office support, administrative projects, and limited executive assistant support for the surgeon.
We are looking for someone who can help the practice run more smoothly, support the practice manager, improve patient follow-up, and help grow our Spanish-speaking patient base.
Responsibilities
Patient Coordination and Follow-Up
- Respond to new patient inquiries by phone, text, email, and online forms.
- Communicate with patients in both English and Spanish.
- Schedule consultations, pre-op appointments, post-op visits, and follow-up calls.
- Confirm appointments and reduce no-shows.
- Follow up with patients after consultations.
- Track prospective patients from inquiry through consultation and surgery scheduling.
- Help patients understand the consultation process, financing options, recovery logistics, and next steps.
- Maintain a lead-tracking system so no patient inquiry is lost.
- Follow up with old leads and patients who have not yet scheduled.
- Request patient reviews when appropriate.
- Provide a warm, professional, nonjudgmental experience for patients considering cosmetic surgery.
Spanish-Language Patient Support
- Serve as a primary contact for Spanish-speaking patients.
- Help Spanish-speaking patients feel welcomed and understood.
- Translate routine patient instructions, messages, and educational materials when appropriate.
- Assist with Spanish-language phone calls, texts, appointment reminders, and follow-up.
- Help improve Spanish-language patient materials and communication systems.
- Track Spanish-speaking inquiries, consultations, and scheduled surgeries.
- Recognize when formal medical interpretation or physician-level communication is needed.
Medical Assistant Duties
- Prepare exam rooms before clinic.
- Room patients for consultations, pre-op visits, and post-op visits.
- Obtain and update medical history, medications, allergies, and other routine information.
- Take vital signs when needed.
- Assist with standardized clinical photography.
- Chaperone exams when appropriate.
- Help patients with garments, gowns, and routine post-op room setup.
- Review routine written pre-op and post-op instructions.
- Maintain clean, organized, patient-ready exam rooms.
- Restock supplies and patient materials.
- Follow HIPAA, OSHA, infection-control, and confidentiality standards.
- Escalate clinical questions or concerns appropriately.
Front Office and Administrative Support
- Greet patients professionally.
- Answer phones and route calls appropriately.
- Check patients in and out.
- Collect payments according to office policy.
- Maintain patient records and scan/upload documents.
- Help prepare charts and patient packets.
- Assist with scheduling, forms, consents, and administrative follow-up.
- Help the practice manager with supply tracking, document organization, vendor communication, and special projects.
- Maintain weekly task lists and follow-up lists.
Executive / Professional Assistant Support
This role will also include limited professional assistant support for the surgeon, approximately one day per week or as scheduled.
Duties may include:
- Calendar support.
- Meeting and appointment scheduling.
- Travel coordination.
- Task-list organization.
- Drafting routine emails or documents for review.
- Professional errands or administrative projects.
- Confidential support related to practice operations and professional responsibilities.
Required Qualifications
- Fluent in English and Spanish.
- Prior medical office experience.
- Excellent phone, text, and email communication skills.
- Warm, professional, and polished patient-facing manner.
- Strong organizational skills and attention to detail.
- Comfortable discussing cosmetic surgery in a respectful and discreet way.
- Comfortable with patient photographs and sensitive body-related concerns.
- Able to manage multiple tasks without losing follow-through.
- Comfortable with computers, scheduling systems, email, and spreadsheets.
- Reliable, punctual, discreet, and mature.
- Able to maintain strict patient and business confidentiality.
Preferred Qualifications
- Medical Assistant certification or formal MA training.
- Experience in cosmetic surgery, plastic surgery, dermatology, med spa, cosmetic dentistry, LASIK, fertility, bariatric surgery, or concierge medicine.
- Experience with patient coordination or treatment coordination.
- Experience discussing pricing, financing, scheduling, and patient follow-up.
- Experience with EMR/practice management software.
- Experience taking standardized clinical photographs.
- Experience helping with Spanish-language patient communication or outreach.
Ideal Candidate

Schedule
Full-time, in-person position in Nashville.
The physician sees patients in the office approximately two full days per week. On those days, the role will be heavily clinical and patient-facing. On other days, the role will focus on patient coordination, Spanish-language follow-up, administrative projects, practice manager support, and professional assistant tasks.
Compensation
$23–$25/hour depending on experience, bilingual fluency, medical assisting background, patient coordination ability, and administrative skills.
