About the Role
We are seeking a highly organized, detail-oriented, and professional Administrative Assistant to provide direct support to a Board Member within our growing medical practice. This unique position combines executive administrative responsibilities within a healthcare environment with personal assistant duties, requiring exceptional discretion, adaptability, and strong organizational skills.

Key Responsibilities Executive & Administrative Support
- Manage calendars, appointments, meetings, and scheduling.
- Coordinate travel arrangements, accommodations, and itineraries.
- Prepare correspondence, reports, presentations, and meeting materials.
- Organize and maintain electronic and physical files.
- Assist with projects, deadlines, and administrative initiatives.
- Screen and prioritize emails, phone calls, and requests.
- Coordinate communication between providers, staff, vendors, and external partners.
Medical Practice Support
- Provide administrative support to clinic leadership as needed.
- Assist with office organization, documentation, and operational tasks.
- Help track projects, compliance items, and follow-up action items.
- Support special events, meetings, and provider-related initiatives.
- Maintain confidentiality of sensitive business and patient-related information.
Personal Assistant Duties
- Assist with personal scheduling and appointment coordination.
- Manage errands and personal administrative tasks.
- Coordinate reservations, travel planning, and household-related requests.
- Research vendors, services, and other miscellaneous projects.
- Handle confidential personal matters with professionalism and discretion.
Qualifications
- Minimum 2 years of administrative, executive assistant, personal assistant, or office management experience.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities with minimal supervision.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Strong problem-solving skills and ability to anticipate needs.
- Professional demeanor and high level of discretion.
- Reliable, dependable, and proactive work ethic.
Preferred Qualifications
- Experience working in a medical office, healthcare setting, or professional services environment.
- Experience supporting executives, physicians, or business owners.
- Familiarity with medical office operations and scheduling systems.
