Job Title: Front Desk

Housing Alliance and Community Partnership (HACP)
The Front Desk Associate at Housing Alliance and Community Partnership (HACP) is the first point of contact for current and potential residents of HACP's properties. This role is responsible for managing the front desk area, providing excellent customer service, and supporting the administrative functions of the office. The ideal candidate will be organized, professional, and capable of handling a variety of tasks with efficiency and a positive attitude.
Key Responsibilities:
· Reception Duties: Greet and assist visitors in a friendly and professional manner, ensuring they are directed to the appropriate department or resource.
· Phone and Email Management: Answer incoming calls, respond to emails, and route inquiries to the correct personnel, ensuring timely and accurate communication.
· Resident Assistance: Provide information and guidance to current and potential residents about available housing programs, application processes, and other relevant services
· Data Entry and Record Keeping: Maintain accurate and up-to-date records in the organization’s database, including client information and program applications.
· Appointment Scheduling: Schedule appointments for residents with property managers, maintenance techs, and other HACP personnel as needed.
· Document Management: Assist with scanning, filing, and organizing documents for efficient access and retrieval by staff.
· Office Support: Assist with administrative tasks such as photocopying, preparing mailings, and ordering office supplies.
· Collaboration: Work closely with other departments to ensure smooth daily operations and provide support to staff members as required.
· Maintain Clean and Organized Work Area: Ensure the front desk area is clean, organized, and welcoming for visitors and staff.
Qualifications:
· Education: High school diploma or GED required; some college or relevant certification preferred.
· Experience: Previous experience in a front desk, receptionist, or administrative role preferred. Experience in social services, housing, or a nonprofit environment is a plus.
Skills:
· Strong communication and interpersonal skills.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with data entry.
· Excellent organizational skills and attention to detail.
· Ability to multitask and prioritize work in a fast-paced environment.
· Knowledge of or willingness to learn about housing programs and community resources.
