About the Position
Newhart’s Cleaning Service is looking for a professional, organized, and sales-minded Receptionist & Sales Representative to join our growing team.
This position is primarily focused on customer communication, quotes, invoicing, sales follow-up, scheduling, and CRM management. The ideal candidate is proactive, detail-oriented, comfortable with technology, and confident communicating with customers.
Primary Responsibilities
Quotes, Invoicing & Follow-Up — 35%
- Prepare and send quotes and estimates.
- Send customer invoices and assist with billing questions.
- Follow up on outstanding quotes and leads.
- Follow up after consultations and estimates.
- Track all leads, quotes, and follow-ups in the CRM.
- Identify opportunities to book additional services.
- Make sure no lead or quote is left without follow-up.
Customer Service & Sales — 20%
- Answer incoming calls, texts, emails, and customer inquiries.
- Explain services and help customers choose the right service.
- Convert leads into booked customers.
- Sell and upsell cleaning services when appropriate.
- Provide professional and friendly customer service.
- Handle customer questions and concerns.
- Earn 5% commission on qualifying specialty cleaning sales.
Scheduling & Consultations — 15%
- Schedule customer appointments.
- Schedule sales consultations for the Operations Manager/Sales Representative.
- Maintain an accurate schedule in the CRM.
- Confirm appointments and consultations.
- Communicate schedule changes with customers and technicians.
CRM & Administrative — 10%
- Maintain accurate customer records.
- Take detailed notes on calls, quotes, complaints, and follow-ups.
- Update CRM records after customer interactions.
- Use Google Docs and Google Workspace.
- Complete administrative tasks assigned by management.
Dispatch & Operations Support — 10%
- Provide minor dispatching support.
- Assist with schedule changes and last-minute adjustments.
- Communicate important job information to the Operations Manager.
- Help identify scheduling conflicts.
- Assist with keeping daily operations organized.
Customer Complaints & Team Communication — 5%
- Receive and document customer complaints.
- Gather information and communicate issues to the Operations Manager.
- Assist management with resolving customer concerns.
- Document employee/team issues that require management attention.
This position does not independently discipline employees. Team-related concerns should be documented and escalated to the Operations Manager.
Reporting & Management Meetings — 5%
- Complete an end-of-day report.
- Report sales activity, follow-ups, customer concerns, and scheduling issues.
- Track quotes, consultations, and sales.
- Attend weekly meetings with Operations Management.
- Review priorities, outstanding follow-ups, and operational concerns.
Required Qualifications
- Excellent customer service and communication skills
- Sales ability and confidence speaking with customers
- Strong organization and attention to detail
- Proficient with Google Docs/Google Workspace
- Comfortable learning and using CRM software
- Strong note-taking and documentation skills
- Professional phone, text, and email communication
- Ability to multitask and prioritize
- Ability to handle customer complaints professionally
- Dependable, punctual, and proactive
Previous experience in sales, customer service, reception, scheduling, dispatch, administration, or a service-based business is preferred.

We need someone who takes ownership and follows through. This is not simply a phone-answering position. You will be responsible for keeping leads moving, sending quotes and invoices, following up with customers, keeping the CRM accurate, scheduling appointments, and supporting daily operations.
