Position Summary
The Cleaning Operations Coordinator oversees the day-to-day operations of the cleaning team to ensure exceptional service, efficient scheduling, and high customer satisfaction. This role serves as the primary point of contact for cleaners, clients, Airbnb hosts, and property managers while ensuring jobs are completed on time and to company standards. The ideal candidate is organized, proactive, detail-oriented, and thrives in a fast-paced environment.
Key ResponsibilitiesOperations Management
- Coordinate daily cleaning schedules and assign jobs to team members.
- Monitor employee attendance, punctuality, and job completion.
- Ensure all cleanings are completed according to company quality standards.
- Respond quickly to schedule changes, emergencies, and call-outs.
- Conduct routine quality inspections and provide coaching when necessary.
- Track employee hours and verify timesheets.
Team Leadership
- Serve as the primary support person for cleaning technicians.
- Train and onboard new employees on company procedures.
- Motivate staff while maintaining accountability and professionalism.
- Assist with performance evaluations and disciplinary documentation.
- Ensure cleaners have the necessary supplies and equipment.
Client Relations
- Answer incoming phone calls, emails, and text messages.
- Schedule new bookings and manage recurring appointments.
- Communicate with homeowners, renters, Airbnb hosts, and property managers.
- Resolve customer concerns professionally and promptly.
- Follow up with clients after services to ensure satisfaction.
Scheduling & Administrative Duties
- Manage scheduling software and optimize daily routes.
- Confirm appointments and communicate arrival times.
- Track cancellations, reschedules, and last-minute requests.
- Maintain accurate customer and employee records.
- Assist with payroll information by verifying employee hours.
Quality Control
- Collect before-and-after photos from cleaners.
- Review completed jobs for quality assurance.
- Ensure company checklists and cleaning standards are followed.
- Address deficiencies by coordinating touch-ups when necessary.
Inventory Management
- Monitor cleaning supply inventory.
- Order supplies as needed.
- Ensure company vehicles and equipment remain organized and operational.
Business Development Support
- Respond to online inquiries and estimate requests.
- Assist with client retention and referral follow-ups.
- Coordinate with marketing efforts by requesting customer reviews.
- Build and maintain strong relationships with Airbnb hosts and property managers.
Qualifications
- High school diploma or equivalent (Associate's degree preferred).
- 2+ years of experience in operations, scheduling, customer service, hospitality, or management.
- Previous experience in residential cleaning, hospitality, or property management is highly preferred.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to problem-solve independently.
- Proficiency with scheduling software, Google Workspace, Microsoft Office, and smartphones.
- Valid driver's license and reliable transportation.
