Responsibilities
- Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette.
- Operate multi-line phone systems efficiently to ensure prompt and courteous communication.
- Oversee calendar management and scheduling for meetings, appointments, and office events.
- Maintain accurate records through data entry, filing, proofreading, and updating databases using tools like Microsoft Office.
- Handle clerical duties such as photocopying, scanning, mailing, and organizing documents to support daily office functions.
- Assist with bookkeeping tasks using accounting software to track expenses and manage invoices.
- Provide exceptional customer service by supporting clients, vendors, and team members with professionalism and responsiveness.
- Support office management activities including supply inventory control, maintaining cleanliness, and coordinating repairs or maintenance as needed.
- Contribute to a positive work environment by demonstrating excellent time management skills and fostering effective team collaboration.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent phone etiquette and experience managing multi-line phone systems.
- Bilingual abilities are a plus to effectively communicate with diverse populations.
- Strong clerical skills including data entry, proofreading, filing, and document management.
- Ability to handle customer support tasks with professionalism and patience.
- Experience in medical roles
- Personal assistant experience or calendar management expertise is highly valued.
- Demonstrated ability to prioritize tasks efficiently while maintaining attention to detail in a fast-paced setting.
