Job Summary
We are seeking a calm, professional, and highly organized Child & Family Documentation Liaison to assist with child-focused communication, scheduling, appointment documentation, and record organization in a co-parenting situation.
The purpose of this role is to help reduce miscommunication, keep communication factual and organized, and ensure that important child-related information is clearly documented. This may include medical appointments, school-related matters, activity scheduling, food logs, custody schedule updates, and follow-up items.
The ideal candidate is emotionally steady, detail-oriented, discreet, and able to maintain a neutral, child-centered tone in all communications and documentation.
Key Responsibilities
Responsibilities may include:
- Assisting with child-focused communication between parents when appropriate
- Helping organize and document custody schedule details, exchanges, make-up time, school events, activities, and appointments
- Attending child-related medical, dental, therapy, school, or activity appointments when authorized
- Taking clear, factual notes during appointments or meetings
- Summarizing provider recommendations, follow-up instructions, referrals, prescriptions, or next steps
- Creating short written summaries after appointments or important communications
- Maintaining an organized timeline of child-related updates and events
- Tracking food logs, health notes, activity logs, school updates, and other relevant child-focused information
- Helping ensure communication remains factual, respectful, and centered on the child
- Organizing emails, text communications, appointment summaries, after-visit notes, and related documentation
- Helping flag unresolved items or inconsistencies in a neutral, factual way
- Supporting use of shared calendars, email, OurFamilyWizard, TalkingParents, or similar communication tools if applicable
Ideal Candidate
The ideal candidate may have experience in one or more of the following areas:
- Family law or custody-related documentation
- Paralegal or legal assistant work
- Social work or case management
- Child advocacy
- Education, school counseling, or child development
- Medical advocacy, nursing, or healthcare coordination
- Supervised visitation or custody exchange support
- Mediation or high-conflict family communication support
- Administrative support involving sensitive or confidential information
Qualifications
Preferred qualifications include:
- Excellent writing, note-taking, and documentation skills
- Strong attention to detail
- Ability to remain calm, professional, and neutral in sensitive situations
- Strong organizational skills
- Comfort handling confidential family and child-related information
- Ability to communicate clearly and factually
- Experience with children, families, custody matters, medical appointments, or legal documentation preferred
- Familiarity with custody orders, parenting schedules, or family communication platforms is a plus
- Local availability for occasional appointments is preferred but not required
Important Boundaries
This is not a legal, medical, or therapeutic role. The liaison will not provide legal advice, medical advice, custody recommendations, therapy, or parenting opinions unless separately licensed and authorized to do so.

- Attending a pediatrician appointment and preparing a factual summary of what the doctor said
- Tracking appointment dates, follow-up instructions, and provider recommendations
- Organizing communications about school, meals, health, activities, or schedule changes
- Preparing a timeline of child-related events
- Helping draft neutral, child-focused communication
- Maintaining a shared calendar or documentation file
- Summarizing unresolved issues in a factual and non-emotional format
Schedule
This is a flexible part-time position. Some work can be done remotely, but occasional in-person availability for appointments or meetings may be helpful.
Compensation
Pay is based on experience, background, and availability. Please include your desired hourly rate when applying.
