POSITION SUMMARY:
We are seeking a professional, organized, and customer-focused Receptionist to serve as the first point of contact for our NYC office. The ideal candidate will provide exceptional customer service while managing front desk operations in a fast-paced professional environment. This position involves the coordination of meetings and conferences, and answers all phone lines. It involves dealing with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.
RESPONSIBILITIES:General Duties:
- Greet clients, visitors, and vendors in a courteous and professional manner.
- Coordinate visitor access and notify employees of arriving guests.
- Answer, screen, and direct incoming telephone calls.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean, organized, and professional reception area and maintain conference rooms.
- Restock kitchen with snacks and beverages.
- Schedule appointments, meetings, and conference rooms.
- Maintain confidentiality of sensitive company and client information.
- Support various departments with administrative projects as assigned.
- Run personal errands when asked (i.e., pickup lunch).
- Assist other EA’s when necessary.
This is a full-time, on-site position. Days and hours of work are 4 days/week, Monday through Thursday, 9:00 a.m. to 6 p.m.
REQUIREMENTS:
- 2+ years of hands-on receptionist or administrative support experience.
- Must be able to discreetly handle sensitive and confidential material.
- Must be very detail-oriented and highly organized.
- Requires the ability to work with VIP clients and senior managemen.t
- Must have a keen sense of urgency and enjoy working at a fast pace.
- Requires knowledge of Microsoft Office programs and internet search engines. Must be tech savvy!
- Knowledge of operating standard office equipment.
- Excellent communication skills – written and verbal.
- Requires the ability to work both independently and in a team environment.
- Ability to prioritize projects and strong problem-solving skills.
- Good research skills and attention to detail.
