Job Summary
We are seeking a highly organized, proactive, and solutions-oriented Private Duty Home Care Scheduler to manage our daily scheduling operations and non-medical home care coordination. Serving as the operational nerve center of our team, you will act as the primary liaison between clients, their families, and our caregiving staff. The ideal candidate excels in a fast-paced environment, possesses sharp problem-solving skills to navigate complex scheduling puzzles, and thrives on building meaningful relationships through exceptional customer service.
Responsibilities
Operations & Scheduling Management

Build, maintain, and optimize weekly visiting schedules using enterprise Electronic Health Records (EHR) software.

Match caregivers with clients based on skill sets, care requirements, personality compatibility, schedule availability, and geographic locations.

Efficiently resolve last-minute coverage challenges, shift call-offs, and emergency care adjustments.

Track Electronic Visit Verification (EVV) compliance in real time and promptly address attendance discrepancies.

Manage scheduling logistics to minimize non-essential overtime while prioritizing continuity of care for every client.
Client & Family Communication

Act as the primary scheduling point of contact for clients, family representatives, and power of attorney contacts.

Communicate schedule updates, caregiver roster changes, and service plans clearly and empathetically.

Perform routine client check-ins and satisfaction calls to maintain high service standards and address concerns proactively.
Caregiver Support & Engagement

Provide clear assignment details, care plan instructions, and client preferences to caregivers prior to visits.

Maintain up-to-date caregiver availability profiles, credentialing status, and scheduling preferences.

Foster a positive, supportive environment through clear communication, active listening, and responsive problem-solving.
Quality Assurance & Compliance

Ensure all assigned caregivers meet client-specific care requirements and internal qualification standards.

Maintain complete, precise, and timely documentation in client and employee software records.

Support rotational on-call coverage (2 weeks per month, including weekends) to resolve after-hours caregiver call-offs or urgent client needs.

Step in to conduct in-home introductions between clients and new caregivers as needed when leadership is unavailable.
Requirements

1+ years of experience in private duty, non-medical home care scheduling, or healthcare roster management.

Exceptional verbal, written, and interpersonal communication skills with a strong focus on customer service.

Proven ability to manage multi-variable logistics and adapt quickly in a dynamic, high-volume environment.

High degree of computer literacy, accurate data entry, and comfort learning new software platforms quickly.

High attention to detail, coachable mindset, and a positive, team-oriented attitude.
Preferred Requirements

Prior hands-on experience as a caregiver or Certified Nursing Assistant (CNA).

Demonstrated proficiency using WellSky Home Care or similar home care scheduling platforms.

Experience with state EVV compliance systems and caregiver retention strategies.

Associate or Bachelor's degree in Healthcare Administration, Business, or a related field.

Bilingual capabilities (English / Spanish preferred).
Compensation

Base Salary: $50-70K
