Job Title: Fiduciary Assistant – Trust & Estate Administration
We are seeking a detail-oriented, organized, and dependable Fiduciary Assistant to support the administration of trusts and estates. The ideal candidate has strong accounting and bookkeeping experience, excellent organizational skills, and the ability to manage multiple priorities while maintaining confidentiality and accuracy.
Responsibilities
- Assist with the administration of trusts and estates from opening through final distribution.
- Maintain fiduciary accounting records and prepare fiduciary accountings.
- Record and reconcile financial transactions using QuickBooks (QB).
- Process accounts payable and receivable, bank reconciliations, and journal entries.
- Prepare financial reports, spreadsheets, and supporting documentation.
- Coordinate with trustees, beneficiaries, attorneys, CPAs, financial advisors, and other professionals.
- Assist CPAs by gathering financial records, preparing schedules, and providing documentation needed for fiduciary, estate, and trust tax return preparation.
- Track tax filing deadlines and help ensure required information is submitted accurately and on time.
- Assist with organizing tax-related records and maintaining documentation for annual fiduciary income tax returns, estate tax filings, and other tax reporting requirements.
- Organize and maintain client files, legal documents, and correspondence.
- Track deadlines and ensure timely completion of administrative and regulatory requirements.
- Provide professional and courteous client service while handling sensitive and confidential information.
Qualifications
- Must be able to pass background check and provide professional references.
- Experience in trust administration, estate administration, fiduciary services, accounting, bookkeeping, or a related field preferred.
- Proficiency with QuickBooks and Microsoft Office, particularly Excel.
- Strong bookkeeping and accounting skills, including account reconciliations and financial reporting.
- Familiarity with fiduciary, trust, and estate tax documentation and working with CPAs is preferred.
- Excellent attention to detail and organizational skills.
- Ability to prioritize work and manage multiple deadlines.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and integrity.
- Associate's or bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred but not required with relevant experience.
Preferred Experience
- Trust and estate administration.
- Fiduciary accounting.
- Probate or legal office experience.
- Experience working with investment statements and financial institutions.
- Knowledge of trust accounting principles, estate settlement procedures, and fiduciary tax reporting.
This is a full-time, in-office position with flexible scheduling available between 7:00 a.m. and 5:30 p.m. 37-40 hours per week. A background check will be conducted prior to employment.
Start Date: July 20th, 2026
Pay: $25.00 - $30.00 per hour
