We specialize in industrial painting, abrasive blasting, structural steel coatings, potable water systems, and government contracting projects.

What You'll Do
We're looking for a highly organized Administrative Assistant who enjoys being the hub of the office. In this role, you'll support company leadership while ensuring daily administrative, financial, and human resources processes run efficiently.
You'll thrive if you're proactive, detail-oriented, adaptable, and enjoy working with people in a collaborative environment.
Responsibilities Include:
● Serve as the first point of contact by greeting visitors, employees, applicants, and vendors
professionally.
● Answer and route incoming phone calls and respond to routine inquiries.
● Manage executive calendars, scheduling, travel arrangements, and meeting logistics.
● Prepare correspondence, reports, presentations, invoices, and business documents.
● Coordinate meetings, prepare agendas, record meeting minutes, and distribute
documentation.
● Organize and maintain corporate records, files, and confidential documents.
● Assist with invoicing, financial documentation, and administrative accounting support.
● Support Human Resources by assisting with onboarding, personnel files, payroll
documentation, and employee recordkeeping.
● Scan, upload, and maintain electronic personnel files and training records.
● Order office supplies and coordinate office operations and vendor communications.
● Support special projects and provide administrative assistance across departments as needed.
What We're Looking For
● High School Diploma or GED required.
● Associate's or Bachelor's degree in Business Administration, Office Management, or a related field preferred.
● 2–4 years of progressively responsible administrative or executive support experience.
● Bilingual in English and Spanish (required) with the ability to read, write, and communicate fluently in both languages.
● Experience supporting executive leadership in a professional office environment.
● Experience with invoicing, bookkeeping, payroll support, or financial documentation preferred.
● Human Resources or employee onboarding experience is a plus.
● Construction industry experience is a plus.
● Excellent organizational, communication, and customer service skills.
● Ability to manage multiple priorities while maintaining accuracy and professionalism.
● Strong attention to detail and commitment to confidentiality.
Technical Skills
● Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Work Environment & Expectations
● Full-time position, Monday through Friday.
● Standard business hours (typically 8:00 a.m. – 5:00 p.m.).
● Professional office environment supporting a growing construction company.
● Occasional overtime may be required during payroll processing, month-end activities, or
special projects.
● Occasional visits to active job sites may be required with appropriate PPE.
● Ability to multitask, maintain confidentiality, and adapt to changing priorities.
