Job Overview
The Personal Assistant will help manage day-to-day administrative, business, household, and scheduling needs. Responsibilities may range from calendar management and coordinating appointments to organizing documents, following up with vendors, researching projects, and helping ensure important tasks do not fall through the cracks.
This person must be able to take general direction, organize the details, and move projects forward without needing constant supervision. The role requires excellent judgment, discretion, communication, and follow-through.
Responsibilities
- Manage calendars, appointments, meetings, reminders, and deadlines.
- Maintain organized task lists and follow up on outstanding items.
- Coordinate with employees, vendors, contractors, service providers, and other contacts.
- Make phone calls, schedule appointments, and confirm details.
- Organize digital and physical files, records, receipts, estimates, and important documents.
- Assist with personal, household, property, and business-related projects.
- Research products, services, vendors, travel options, and other requested information.
- Prepare basic documents, spreadsheets, summaries, and correspondence.
- Track projects and provide regular updates on progress, decisions, and next steps.
- Assist with errands, purchases, returns, pickups, and deliveries as needed.
- Help manage email communication and identify items requiring attention.
- Coordinate travel arrangements, reservations, itineraries, and family logistics when needed.
- Maintain confidentiality regarding personal, family, financial, and business information.
- Anticipate needs, identify potential problems, and help develop practical solutions.
- Take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
Requirements
- Previous experience as a personal assistant, executive assistant, office manager, project coordinator, or similar role is preferred.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of discretion, professionalism, and trustworthiness.
- Ability to manage multiple priorities and changing circumstances.
- Strong attention to detail and consistent follow-through.
- Comfortable making phone calls and communicating with a variety of people.
- Able to work independently and make sound decisions.
- Proficient with email, calendars, Google Workspace, spreadsheets, and general technology.
- Willingness to learn new systems and use tools to improve organization and efficiency.
- Reliable transportation and a valid driver’s license.
- Ability to occasionally work outside normal hours when an urgent need arises.
- Positive, calm, solutions-oriented attitude.
