Job Summary - Administrative Assistant/Receptionist
Willis & Jurasek, a long-established and respected CPA firm in Jackson, Michigan, is seeking a friendly, organized, and dependable Receptionist to become an important part of our team. As the first point of contact for our clients, you will play an important role in creating a welcoming and professional experience while supporting the smooth operation of our office.
This is a full-time, on-site position. The successful candidate must be able to reliably commute to our office and work on-site five days per week, Monday through Friday.
Key Responsibilities
- Greet clients and visitors in a warm, professional manner
- Answer and direct incoming telephone calls and respond to general inquiries
- Schedule appointments and assist with coordinating client visits
- Receive, sort, and distribute mail and other correspondence
- Maintain an organized and welcoming reception area
- Provide general administrative support to the accounting team as needed
- Assist with documents, scanning, filing, photocopying, and other routine office tasks
- Communicate with clients, staff, and professional contacts courteously and confidentially
- Help ensure the front office operates smoothly and efficiently
Qualifications
- A minimum of a high school diploma or equivalent
- Previous experience in reception, administration, customer service, or a similar office environment
- Experience working in an accounting firm or professional services environment is highly desirable, but not required
- Experience in QuickBooks Desktop is highly desirable, but not required
- Good computer skills and the ability to learn office software and systems
- Excellent communication and interpersonal skills
- A friendly, professional, and approachable manner
- Strong organizational skills and attention to detail
- The ability to manage multiple responsibilities while remaining organized and composed
- Sound judgment and an understanding of the importance of client confidentiality
- Reliability, punctuality, and a positive team-oriented attitude
- Ability and willingness to work overtime hours, including Saturdays, during tax season
